A well-established commercial construction company in Medford, OR is looking for a Payroll & Accounting Specialist to own its weekly payroll and support the accounting team. This is a true 50/50 role: about two days a week on payroll and three on accounting. If you like a steady, recurring rhythm, take pride in accuracy, and want to build certified payroll expertise in construction, this is a great fit.
What You’ll Do
Run weekly payroll for about 100 employees (time is due Monday mid-morning, payroll finalized Wednesday, paid Friday)
Prepare and submit weekly certified payroll reports for public works and prevailing-wage projects (Davis-Bacon and state rules), verifying each employee’s classification, hours, wage rate, and fringe benefits against the project’s wage determination
Submit retirement contributions, garnishments, and other payroll payments
Support onboarding and offboarding, and resolve employee pay issues
Work directly with subcontractors and train them on project reporting requirements
Prepare and submit monthly union remittance reports and fringe contributions to trust funds, reconcile them to payroll records, and track CBA rate changes
Process vendor invoices, code expenses, match to POs and receiving documents, support weekly check runs and electronic payments, and maintain vendor records (W-9s, 1099 information)
Process monthly company credit card statements, match receipts, code and post charges to the GL, and follow up with cardholders on missing receipts or discrepancies
Complete monthly reconciliations of assigned balance sheet accounts (payroll liabilities, accruals, intercompany, prepaids), clear reconciling items, and prepare recurring and adjusting journal entries with support
Help with month-end and year-end close
Track and renew business licenses, contractor licenses, permits, and registrations across jurisdictions, maintaining a renewal calendar and current copies on file
Prepare schedules and documents for external auditors and support payroll, union, and agency compliance audits
Tools You’ll Use
Microsoft Excel, UKG (payroll), Sage 300 (accounting only), and Acumatica, which is being implemented now as the new system. LCPtracker or similar certified payroll tools are a plus.
What We’re Looking For
2 years of relevant experience with a bachelor’s degree, or 4+ years of relevant experience without a degree
Hands-on weekly payroll experience, with the ability to own the full payroll cycle
Very accurate and detail-oriented, with a record of hitting weekly and monthly deadlines
Trustworthy with confidential payroll and employee information
Calm under pressure when payroll problems or upset employees arise
A collaborative relationship builder who communicates clearly with employees, vendors, unions, subcontractors, and auditors
Organized and self-motivated, working well independently and on a team
Willingness to earn a certified payroll certification. It is not required to apply, but you’ll be expected to obtain it.
