Accounting Assistant (Waukesha, WI)

We are looking for an organized, detail oriented Accounting Assistant to join our team! The Accounting Assistant will support the accounting and sales departments with a variety of financial and administrative tasks in a fast-paced construction environment. This role assists with billing, payment processing, contract documentation, and general office support to ensure accurate financial records and operations.

*This role will be onsite in our Waukesha, WI office*

In this role you will…

• Assist with accounts receivable functions including invoice preparation and payment processing


• Create and process invoices using detailed job and contract information


• Support AIA and progressive contract billing processes, including milestone billing


• Review purchase orders in coordination with Project Managers and Sales Staff


• Process incoming payments, including checks and electronic deposits


• Apply payments to appropriate customer accounts and maintain accurate records


• Perform data entry of financial transactions into our accounting system, Vision


• Maintain organized filing systems for invoices, contracts, job documentation, and correspondence

You’ve got what it takes if you have…

• Experience in an accounting or administrative support role preferably in the construction industry


• Familiarity with construction billing processes including AIA forms and contract billing


• Experience with Service Titan or other service-oriented ERP systems


• Strong data entry skills and attention to detail


• Ability to manage multiple tasks and deadlines efficiently


• Proficiency with accounting software


• Strong organizational and communication skills
