Job Description - Accounting Clerk



Primary Responsibilities: Accounts payable, accounts receivable, daily deposit prep & data entry.  General office functions such as filing, mail handling, copying/scanning.  Use best accounting practices to ensure accurate financial data is being recorded to the general ledger and reported to owners and management.  



  • Accounts Payable: Post Vendor invoices, Instant post bills, intercompany bills, Toyota weekly invoices, fuel receipts, etc.

  • Assist with Coding and posting of all reserve statements, dealer holdback, wholesale reserve, delivery allowance, MCB reports and TFS payments and Finance reserve statements.

  • Verify accounts payable invoices and obtain appropriate approval.

  • Posts all open items in accounts payable on a daily basis.

  • Miscellaneous Payables:  Write miscellaneous checks for vendors

  • Reconcile monthly vendor’s statements and process weekly check runs. File/Scan paid invoices. 

  • Answers all vendor inquiries.

  • Prepares accounts payable reports, balances schedules and maintains all accounts payable files.

  • Reconcile daily cash, checks & credit card receipt entries from all departments

  • Prepare daily bank deposit

  • Accounts Receivable: Prepares and reviews accounts receivable statements each month. Mailing out vendor statements by the 5th of each month. Collecting on past due accounts, calling daily until collected. Look at schedule weekly to ensure timely payment from customers.  

  • Credit Cards: Reconcile company credit cards monthly & post payments

  • Assists in monthly closings and special projects as necessary.

  • Scan/File documents within accounting office to maintain a clean work area.  

  • Miscellaneous Duties: Perform other duties as assigned by the Office Manager/Controller.


 


Skills Required:


To perform this job successfully, this individual must be able to perform each essential duty satisfactory.


o Mathematical Skills: Accounting experience/ Basic mathematical skills


o Positive Attitude


o Strong Organizational Skills


o Ability to multi-task


o Knowledge of Reynolds & Reynolds software


o College Degree and/or 1 to 2 years of experience in Office Setting.
