Job Description - Accounting Coordinator - Urgent Hiring

Summary: The Nonpublic Schools Accounting Coordinator is responsible for internal controls, including the reliability of financial information, documentation, and compliance with applicable laws, regulations, policies, and procedures. The Accounting Coordinator will review, prepare, and process documents to ensure all financial aspects of grants are managed according to Title Program regulations and within accepted timeframes.

Essential Duties and Responsibilities

  • Coordinate and provide training and resources to nonpublic schools regarding budgets, expenditures, and required documentation.
  • Provide guidance to nonpublic administrators regarding guidelines and procedures involving purchasing, accounts payable, account receivables, and inventory management.
  • Ensure that nonpublic schools meet appropriate and timely fiscal processes and deadlines.
  • Research to resolve all budget problems and/or questions.
  • Coordinate and monitor year-end purchase order closing for nonpublic schools to ensure invoices are paid prior to the cut-off date.
  • Coordinate, develop, and set up the school budgets for all title-related programs.
  • Responsible for the development and maintenance of ad-hoc reports via Excel and Crystal reports on a daily, weekly, and monthly basis.
  • Responsible for establishing new account numbers for new grants as well as continued federal grants.
  • Assist with consultation to determine services for schools that impact grant and budget development.
  • Ensures the integrity of financial policies and procedures in accordance with applicable statutes and laws to comply with federal guidelines.
  • Maintain a thorough understanding of financial reporting for audits and preparation.
  • Provide monthly expenditure reports for all applicable grants.
  • Responsible for maintaining and updating fiscal reports and documents for nonpublic schools.
  • Responsible for calculating projections for all nonpublic title programs.
  • Responsible for creating staffing calculation sheets for Title I schools and other federal grants assigned and attending staffing on a yearly basis.
  • Communicate with various departments, such as human resources, payroll, purchasing, accounting, and grant accounting, regarding Title I issues and/or budget concerns.
  • Responsible for the maintenance of standard operating procedures for the nonpublic schools.
  • Participate in collaboration and communication with non-public schools as well as cross-functional departments to ensure business operations are effective and efficient.
  • Work in concert with the department to gather financial documentation for compliance and audits.
  • Perform other duties as assigned.

Qualifications:

The applicant must have at least an associate degree in business administration and/or Accounting or a related field(s). A high volume of experience in Excel and Crystal reports is preferred. Must have proven experience in providing a high volume of excellent customer service and reasonable knowledge of federal funding.

Education/Experience:

Four (4) to seven (7) years of experience in accounting and/or grant accounting, with a high volume of experience in Excel and/or similar spreadsheet software. Being able to provide excellent customer service is a must. Experience in crystal reports and other various databases.

Language Ability:

Must demonstrate a high level of oral and written communication skills in order to communicate with directors, principals, and peers. Able to communicate with diverse groups and various management styles.

Math Ability:

Ability to read financial reports, communicate financial information to non-financial people, do projections and calculate budget amounts. Must be able to create and maintain complexed excel spreadsheets and moderately difficult databases.

Reasoning Ability:

Able to work independently under supervision of the Director. Must be able to organize a yearly work schedule from general goals. Must be able to recognize and utilize inter-departmental relationships and procedures. Able to problem solve and trouble shoot at a high level.
