Job Title: Administrative Assistant


Position Summary:


The Administrative Assistant – Front Desk is the first point of contact for visitors and employees. This role ensures a welcoming environment, supports office operations, and assists with HR and executive tasks. The ideal candidate is organized, proactive, and customer-service oriented.


Key Responsibilities:


Reception & Visitor Management



  • Greet and assist visitors professionally

  • Maintain and send daily visitor list to security

  • Ensure reception areas are clean and clutter-free

  • Receive and distribute mail and packages

  • Manage parking validations


Office & Facilities Support



  • Maintain cleanliness and organization of bathrooms and kitchens

  • Order and stock kitchen supplies (coffee, snacks, utensils, etc.)

  • Make and replenish coffee throughout the day

  • Monitor kitchen inventory and reorder as needed

  • Stock bathrooms with essentials (towels, toilet paper, air fresheners)


Conference Room Management



  • Ensure conference rooms are tidy and chairs are arranged

  • Stock rooms with dry erase markers, erasers, and meeting supplies

  • Check A/V equipment functionality; report issues to [email protected]

  • Prepare rooms with drinks, cups, and other meeting essentials


Vendor Coordination



  • Source vendors for services as needed

  • Register vendors with building management

  • Collect and submit required documentation

  • Provide parking validation for vendors


HR & New Hire Support



  • Welcome new hires and assist with onboarding sessions

  • Assemble welcome kits and gift bags

  • Create building ID badges and parking passes

  • Order lunch/snacks for training sessions and events

  • Support happy hour and team-building event logistics


General Administrative Duties



  • Reserve conference rooms upon request

  • Monitor printer paper levels and functionality

  • Collect company equipment from departing employees

  • Assist with travel planning and occasional errands

  • Support executives with tasks and special projects

  • Maintain company calendar and employee boards

  • Create FedEx shipping labels

  • Organize and manage swag inventory

  • Coordinate marketing mailers (supplies, packaging, labels)

  • Stock executive refrigerators and monitor inventory

  • Assist with customer meetings and EBC lunch setups
