Job Description - Admin Assistant




Excellent opportunity for a Full-time Administrative Assistant!







Reporting to the Property Manager, the Administrative Assistant will assist in managing the daily activities within a community. This position provides an excellent opportunity for a highly motivated individual to learn the business fundamentals and advance in our growing company or further their experience in residential property management.







  • Support the Property Manager on site with any delegated administrative, financial and operational tasks.

  •  Provide assistance to the Property Manager including, typing, filing, telephone coverage, property inspections and projects assigned. 

  • Serves as a liaison between vendors and residents.

  • Demonstrate proficiency in reviewing, analyzing, legal instruments supporting residential real estate transactions.







Primary Duties & Essential Responsibilities:







  • Keep track of activity logs and incident reports for the Property Manager.

  • Assist with answering calls and directing to the appropriate person.

  • Coordinate HOA information, notices and/or updates.

  • Ensures all safety precautions and procedures are followed while performing duties.

  • Assists Property Manager  with any special requests, i.e. administrative work, mailings.

  • Resolve and follow-up on all complaints / issues and report to Property Manager

  •  Maintains a safe and secure environment throughout the property.

  • Conduct inventory and order supplies.

  • Multi-task with the ability to complete all delegated tasks in a timely fashion.

  • Maintain and update vendor and contractor lists.

  • Ensuring Rules and Regulations of the community are being followed by residents.

  • Coordinate staff and volunteer participation at community events.

  • Processing of new purchase, lease and lease extension application and input of new resident information. Program resident clickers and club cards and maintain accurate records.

  • Maintain updated service contracts and proof of insurance for all properties.

  • Understand and abstract / research association documents.May be assigned other duties by the Property Manager.

  • Prepare drafts of the required weekly reports.

  • Maintain accurate and up to date resident files. 

  • Any other duties/tasks as directed by Property Manager












**Bilingual a plus**











Full-Time Monday 10-5:30, Wednesday 11-5:30, Thursday 11-5:30 Additional hours will be scheduled at another property to complete a full-time workweek.







Pay Rate: Up to $20 DOE
