ESSENTIAL FUNCTIONS:
? Reception Desk Assistance
> Switchboard coverage as needed from 9:00 – 6:00 p.m. daily ? Assist in greeting guests and ensure they are properly announced
> Creates a welcoming environment by greeting guests, answering phone calls, directing visitors, and taking messages for employees ? Meet and greet guests and seat in appropriate conference rooms
? Meeting set up and breakdown
? Maintain and assist with meeting preparations as directed
? Maintain paper stock within all copiers and fax machines on the 17th and 18th floor on a daily basis, as time allows
? Complete bi-weekly staff pack process
? Review and approve invoices and expense reports
? Backup coverage for Facilities Coordinator
? Assist with other office and administrative duties as assigned
Skill/Qualifications
? Ability to handle multiple priorities in a fast-paced environment
? Strong communication and customer service skills
? Commitment to professional manner and adherence to strict rules of confidentiality
? Excellent organizational and interpersonal skills
? Strong attention to detail and accuracy
? Ability to prioritize and work independently as well as be a team player ? Regular, reliable attendance and punctuality. Flexibility to come in early or stay late on short notice, as needed
? Prior experience working within a financial services or law firm environment preferred.
? Team player; must possess an extremely positive attitude. ? Must be able to respond to variable workflow and maintain composure in a high-pressure environment.
? Proactive in their approach, foreseeing potential problems and identifying solutions.
? Capable of working with discretion and maintaining confidentiality.
? Accepts constructive feedback, learns from mistakes. ? Accepts the mundane tasks.
? Demonstrates proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Access, Outlook).
? 3 + years of relevant experience.
? Bachelor’s degree preferred. Job requires a professional, energetic, self-motivate
