Job Description - Admin Director

Our client is expanding its operations in Ukraine and is dedicated to supporting the development of Ukraine's defence sector. We are looking for an experienced Warehouse Keeper to manage our warehouse operations and contribute to our B2B programs. This role involves overseeing inventory management and supporting the financial aspects of grant-funded projects from South Korea.

\nResponsibilities:
  • Monitor and analyze the market in China and other Asian countries, identifying potential business opportunities.
  • Study competitors and evaluate their activities in the Chinese market.
  • Seek and establish cooperation with Chinese suppliers, buyers, and other partners.
  • Negotiate with Chinese companies, including agreeing on terms of cooperation, drafting contracts, and finalizing agreements.
  • Maintain and develop existing partner relationships.
  • Organize the procurement process for goods and services from China.
  • Monitor suppliers' compliance with contractual obligations, including deadlines and product quality.
  • Ensure timely delivery of products and oversee logistics processes.
  • Coordinate customs clearance for shipments and resolve issues related to customs procedures.
  • Interact with customs authorities and prepare necessary documentation for customs clearance.
  • Prepare and process foreign trade contracts, invoices, certificates, and other supporting documentation.
  • Maintain records of foreign trade operations and prepare reports for management.
  • Monitor invoice payments and ensure timely financial transactions with Chinese counterparts.
  • Track currency exchange differences and optimize expenses.
  • Translate business correspondence, contracts, technical, and commercial documents to/from Chinese.
  • Provide oral translation during meetings and negotiations with Chinese partners.
  • Assess and manage risks associated with international economic activity, including financial, legal, and logistical aspects.
  • Develop measures to minimize risks in international operations.
  • Monitor changes in legislation in China and Ukraine related to international economic activities.
  • Ensure the company's activities comply with local and international laws and regulations.
Qualifications required:
  • Fluent in Chinese (both spoken and written).
  • Experience in negotiating and correspondence in Chinese.
  • Knowledge of other foreign languages (English, Japanese, Korean) will be an additional advantage.
  • Experience as a Foreign Economic Activity Manager or in international trade (particularly with China) for 2-3 years.
  • Experience with customs and logistics procedures.
  • Higher education, preferably in international economics, foreign economic activity, international relations, or linguistics.
  • Specialized courses or certificates in foreign economic activity or international trade will be an additional advantage.
  • In-depth knowledge of international trade, customs legislation, and foreign economic activity principles.
  • Knowledge of international trade standards and rules (Incoterms, WTO, etc.).
  • Proficient in computer use, with knowledge of office programs (MS Office, Excel) and foreign economic activity software (1C, SAP, etc.).
  • Familiarity with specialized programs for customs clearance and logistics is a plus.
  • Experience in a foreign economic activity manager role or in international trade (particularly with China) for 2-3 years.
  • Experience with customs and logistics procedures.
  • Ability to analyze markets and conduct marketing research.
  • Capability to make quick decisions based on market and partner analysis.
  • High level of communication skills.
  • Experience in successfully negotiating with international partners.
  • Ability to organize logistics, supply, and documentation processes.
  • Strong planning and time management skills.
  • Responsibility, stress resilience, attention to detail.
  • Willingness to travel for business.
  • Experience working with Chinese customs authorities and government agencies will also be a significant advantage.
