Job Description - Admin/Finance Assistant - Hiring Urgently

Job Overview:
We are seeking a highly organized and detail-oriented Admin/Finance Assistant to join our team. In this position, you will provide essential support to ensure the smooth operation of our office. This is a full-time position with regular office hours.

Responsibilities:
- Manage calendars, schedule appointments, and coordinate meetings
- Answer phone calls and direct inquiries to the appropriate person or department
- Greet visitors and provide excellent customer service
- Assist with customer support and address inquiries or concerns
- Perform general administrative tasks such as filing, data entry, and document preparation
- Proofread documents for accuracy and completeness
- Maintain office supplies and order when necessary
- Assist with office organization and ensure a clean and professional work environment

The successful candidate will also work alongside the CFO supporting the accounting efforts. Some of these duties will include accounts payable, bank reconciliation, expense reports, requesting and maintaining certificates of insurance, reconciling reports/data, payroll input, and assisting with monthly invoices and annual reports. Experience with QuickBooks is a must.

Skills:
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with calendar management and scheduling software
- Excellent written and verbal communication skills
- Previous experience in an office or administrative role preferred
- Familiarity with phone systems and handling incoming calls
- Ability to work independently as well as part of a team
- Strong attention to detail and accuracy
