The Position:

The Administrative Assistant is responsible for the day-to-day functioning of the office. The Administrative Assistant lends administrative support to ensure efficient operation of the office. This role involves managing a variety of administrative tasks, supporting staff, and assisting in the daily operations of the pharmacy team, and nursing team. Responsibilities include:

• Perform clerical duties that assist in the overall productivity and organization of the assigned region.
• Answer phone calls- routing to the appropriate recipient and take messages as necessary
• Maintain electronic and hard copy filing systems. 
• Handle all incoming and outgoing mail.
• Office supply management and ordering.
• Clerical duties such as typing, photocopying, and scanning.
• Plan meetings and take detailed minutes.
• Write and distribute emails to the entire team as needed.
• Greet and assist patients and visitors in a professional and friendly manner.
• Act as a point of contact for internal and external clients
• Provide general support to visitors.
• Support nurse manager, pharmacy manager, and operation director with office related tasks as requested.
• Assist executive assistants with any assigned tasks including but not limited to on-site visits by the executive team.
• Train new staff on use of basic office equipment including but not limited to phone system use, copier, and postage machine.

Schedule:

• Must be able to work Monday-Friday between the hours of 8:30am-5pm, 2 days per week, 5-10 hours per week.
• Must be able to work in office

Requirements

• High school diploma or equivalent; an associate degree or certification in office administration is preferred.
• Minimum of one-year administrative experience, preferably in office management
• Proficiency in Microsoft Office Suite 
• Excellent writing and communication skills
• Excellent customer service skills
• Excellent organizational skills
