Join our Team! Leland Management is seeking an Administrative Assistant for one of our communities in the Leesburg, FL area. The position is full-time (Monday thru Friday from 9:00am to 5:00pm) with competitive pay and excellent benefits.

Position Summary:
The Administrative Assistant at Leland Management plays a key role in supporting the daily operations of our community association management services. This position serves as a central point of contact for internal staff, board members, homeowners, and vendors. The ideal candidate will thrive in a fast-paced, customer-focused environment and demonstrate exceptional organizational and multitasking abilities. In this role, you will be responsible for ensuring administrative processes run smoothly, supporting the community manager, and helping maintain the professional standards for which Leland Management is known. You will often be entrusted with sensitive information, requiring discretion and sound judgment.

Key Responsibilities:

· Administrative Support: Assist Community Association Manager with daily administrative tasks including document preparation, scheduling, covenant enforcement and project coordination.

· Customer Service: Serve as a point of contact for residents, board members, and vendors, addressing inquiries and concerns promptly and professionally.

· Meeting Preparation: Prepare agendas, board packets, and meeting minutes; ensure accurate documentation of board decisions and action items.

· Data Management: Maintain homeowner databases, update contact information, and process architectural requests or violations.

· Correspondence Management: Draft and distribute emails, letters, newsletters, and notices to homeowners and board members.

· Records and Filing: Organize and maintain both physical and digital records, including contracts, vendor files, insurance documents, and community reports.

· Event Coordination: Assist with organizing community events, meetings, and on-site activities, ensuring logistics are handled efficiently.

· Vendor Communication: Support the coordination and communication with vendors for routine maintenance, service calls, and community projects.

· Office Operations: Greet residents in the office, answer HOA phones. Monitor office supply levels, process mail, and coordinate general office tasks to ensure efficient workflow.

· Compliance Support: Help ensure community operations align with governing documents, state statutes, and Leland Management policies.

Requirements

Qualifications:

  • High school diploma or equivalent; associate degree or higher preferred.
  • Minimum of 2 years of administrative or office support experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Ability to handle confidential information with discretion.
  • Experience in property management or a related field is a plus.
