Job Description - Administrative Assistant

As a key member of the administrative team, this role helps keeps our tax operations running smoothly by coordinating client document intake, assembling and processing returns, managing e-filings, and tracking project progress. This role works closely with tax professionals and fellow administrators to ensure timely, accurate deliverables and top-notch client service.

  • Play a key role in the tax process by coordinating the intake of client information, managing the preparation and processing of deliverables, and overseeing the e-filing and electronic delivery of tax returns.
  • Maintain thorough documentation and actively work to enhance efficiency and standardize the firm’s processes and procedures.
  • Tax return assembly
  • Monitor open tax jobs and status’
  • Problem solving ideas to help the office operate at its most efficient level
  • Manage the e-filing of Form 8879s, ensuring accurate release of returns, monitoring filing statuses, and closing projects in a timely and efficient manner.
  • Support the extension process by assisting Relationship Managers with the preparation and timely release of tax extensions.
  • Generate DataScan reports as requested by Firm Tax Leaders
  • Maintain and update client lists within firm software systems
  • Manage the annual Organizer and Engagement Letter projects
  • Collaborate with team members to identify and implement best practices and process improvements
  • Provide support on various administrative projects as needed
  • Working as a part of a team to perform general receptionist duties, including answering phone calls professionally and directing callers to the appropriate team members, greeting and assisting walk-in clients, and providing general administrative support.
  • Ensure all tasks and projects are completed in accordance with established deadlines
    • Administrative support experience in a professional office environment- preferably in Tax or Accounting Office
    • In-depth knowledge of the tax process and general terminology
    • Familiarity and experience with general office equipment and Microsoft Office Suite
    • Strong software and technology skills
    • Strong communication skills
    • Continued technical and professional learning
    • Growth mindset and ability to learn in a fast-paced environment
    • Ability to think innovatively
