Job Summary
We are seeking a motivated, friendly and outgoing Administrative Assistant to join our team. In this role, you will provide support to our office manager, along with support for the rest of the team as needed. Your responsibilities will include answering phone calls, proof-reading time entries, reviewing monthly vendor invoices prior to our monthly billing cycle, assisting with sales tax filing, general client correspondence, inventory checks, and package handling and receiving. The ideal candidate is highly organized with exceptional attention to detail, willingness to go above and beyond and excellent written and verbal communication skills.
Responsibilities
- Answer incoming phone calls and route them to the appropriate person
- Proof read time entries from IT Support Team
- Review monthly vendor invoice and update recurring invoices
- Assist with sales tax filings and other bookkeeping tasks
- Classify credit card transactions
- Package handling and receiving
- Collection calls and client correspondence
- Track and maintain inventory levels
Qualifications
- Associate’s degree in business administration/management
- Bookkeeping/Accounting background preferred
- Previous experience as an Administrative Assistant or in a similar position
- Excellent computer skills and knowledge of Microsoft Word, Outlook, and PowerPoint
- Highly organized with excellent time management skills and the ability to prioritize projects
