Job Description - Administrative Assistant

Description

The Archdiocese of Kansas City in Kansas is the Catholic Church in Northeast Kansas: Growing as Disciples of Jesus; Making Disciples for Jesus. The Administrative Assistant position supports the work and ministry of the Offices of Marriage & Family Life and Children’s Catechesis. This position is responsible for general administrative responsibilities to support each office as well as coordination of events and program logistics. The position is full-time, and will average 40 hours per week. This position is onsite with work completed in the office. The schedule for this position will require occasional evening or Sunday events (3-4 per year). 


Duties and Responsibilities:

  • Answer phones, respond to emails, manage files, and handle mailings and other clerical tasks.
  • Process reimbursements, credit card statements, mileage vouchers, and manage accounts payable/receivable, including parish billing and payment tracking.
  • Provide administrative support for Totus Tuus summer program including assisting with supply orders, printing materials, and organizing resources. 
  • Plan and coordinate the annual 50th Wedding Anniversary Mass, including designing invitations, certificates, and event programs.   
  • Create and maintain databases and tracking systems for ministry programs and events.
  • Design flyers, invitations, and promotional materials using tools like Canva or MS Publisher.
  • Update basic website content and assist with social media communications.

Knowledge, Skills and Abilities: 

  • Ability  to work independently as well as part of a team.
  • Effective verbal/written communication skills.
  • Accuracy and attention to detail.
  • Build and maintain collaborative relationships with parishes. 

Qualifications

  • High school diploma or equivalent required; associate’s degree is preferred.
  • Previous administrative experience is strongly preferred.
  • Proficiency  in Microsoft Office including Word, Excel, PowerPoint, and Publisher is required.
  • Familiarity with platforms such as Flocknote, DocuWare, Canva, and WordPress is a plus.
  • Bilingual in Spanish/English is a plus.
  • Practicing Catholic in good standing is preferred.
