Job Description - Administrative Assistant


Our plant in Mulberry, Florida is currently looking for an Administrative Assistant assists the General Manager in the day to day operations of the Plant facility. This position is responsible for administrative duties including: personnel, payroll, purchasing, plant reports and several other office duties to ensure efficient daily operations at the facility. This is a vital position for the plants success and key tasks can vary from day to day.

Education and Experience

  • High School Diploma or GED equivalent minimum
  • Associates Degree Preferred
  • Previous experience in HR office management is preferred
  • CPR and First-aid certified preferred

Summary of essential job functions

Key responsibilities include but are not limited to:

  • Interacting with the corporate office while implementing, following and maintaining all corporate procedures
  • Entering daily production reports into spreadsheets
  • Originating, organizing and maintaining all new hire and termination paperwork as well as current employee files
  • Tracking wages, benefits and workers compensation
  • Tracking and maintaining employee timecards, as well as calculating and entering payroll hours into spreadsheets
  • Budgeting and ordering all monthly supplies per GM instruction and approval
  • Developing and maintaining relationships with vendors to ensure best pricing and service possible is a must
  • Receiving and tracking all ordered supplies and materials that come into the Plant Facility
  • Assisting the GM with month end functions, including inventory, variance reports, production reports and others
  • Answering phones and interacting with customers in a pleasant and professional manner
  • Communicating with vendors as necessary for plant operations, repairs, and maintenance
  • Assisting the Sales Assistant with:
  • Training
  • Checking truck drivers in and out
  • Coordinating with forklift drivers to get trucks loaded and unloaded
  • Entering work orders and printing BOL’s

Requirements

Minimum Requirements

  • Experience with Microsoft office applications including; Word, Excel, Power Point and Outlook
  • Ability to multitask and stay focused in a fast paced manufacturing environment
  • Ability to learn and use company specific ERP software, as well as other various company/manufacturing computer systems
  • Data entry, time management, organization, filing and people skills are required
  • Ability to occasionally move / lift smaller items weighing up to 25 lbs.
