This position works under the direct supervision of the Kaibab Paiute Tribe Tribal Administrator and provides administrative and secretarial support for the Administrator and those who work closely with the administrative office. These may include the Chairperson and Department Directors with the main duties focused on the organization and filing of grant-related documents and other important records.
Duties & Responsibilities:
Establishes, develops, maintains and updates filing system for grants administration and Tribal Administrator
Types and designs presentations, general correspondence, memos, letters, charts, tables, graphs, and agendas
Makes phone calls, researches/locates requested information, assembles highly confidential and sensitive information
Acts as a liaison with Departments/Directors and assists in retrieval of information from files when needed and the collection of data
Schedules and organizes certain activities such as meetings, conference calls, travel, projects, and department meetings/appointments relating to the Administration
Attends meetings as needed to take meeting minutes
Organizes large volumes of information for Administration and Departments as needed
Assists Departments with procurement of necessary supplies and researches pricing on non-recurring purchases when needed
Performs other job-related duties as assigned to maintain and enhance departmental and agency operations.
Serves as backup to tribal receptionist in greeting visitors, answering telephones, and distributing mail.
Minimum Qualifications:
Ability to plan, prioritize and organize diversified workload
One years of office related experience preferred
Must be competent in Microsoft Office
Must be able to work independently and as an integral part of a team as workload demands
High School Diploma/GED required; some post-secondary education preferred
Possess a valid driver’s license, have a clean driving record
Must be able to maintain strict confidentiality
