Job Description - Administrative Assistant

Hunt Electric, Inc. of Salt Lake City, UT is looking for a full-time Administrative Assistant to join our team as the 1811 Building office receptionist/assistant. This essential role requires a professional and reliable team member who will be responsible for handling the front desk, managing weekly corporate ordering, facilitating the efficient operation of the building, and providing administrative support for the Technology and Service Divisions, Marketing and Prefabrication Departments, Division Managers, Project Management, Field Foremen, and office personnel. This position also requires someone who is self-motivated and has self-management of wor,k with strong interpersonal skills.



This full-time Administrative Assistant position receives a competitive salary commensurate with experience and position responsibilities. Major Duties:



  • Front Desk Reception – receive and direct visitors and clients.

  • Back up to Corporate Receptionist. Answer, screen, and transfer inbound phone calls and emails (specific to the division, ex. [email protected]).

  • Incoming Service Department phone screening and voicemails through department specific platform.

  • Maintain and order office supply inventories. Coordinate with the main office.

  • Coordinate maintenance of office equipment.

  • Stock and maintain conference rooms and kitchen.

  • Assist the Executive Assistant with corporate events and quarterly meetings.

  • Assist Division Managers with specific safety clothing or gear orders.

  • Assist with the onboarding of office/field staff.

  • Assist HR with anniversary coins and orientation books.

  • Assist the VP of Marketing with conference registrations and calendaring.

  • Coordinate client and team lunches.

  • Work with HR, Safety, etc. on entering certifications in Bamboo.

  • Job-related travel for field employees. Make reservations for hotel, airfare, and car rentals.

  • General clerical duties including written correspondence, typing, photocopying, scanning, filing, record keeping, and mailing.

  • Prepare and modify documents, including reports, drafts, memos, job information database, budgets, contacts, PMP, and submittal standards database.

  • Schedule, coordinate, and calendar meetings and appointments.

  • Prepare agendas and documents for meetings.

  • Record, compile, transcribe, and distribute meeting minutes.

  • Permitting – pay for, drop off/pick up when needed, track for inspections.

  • Manage/Create Shipments – Prepare labels and schedule pick-ups with FedEx and UPS.

  • Panel Schedules – Create and print.

  • Plotter Prints – Print and distribute.

  • Fill out expense reports from credit card receipts for travel, business development activities, company purchases, etc.



Preferred Experience/Qualifications



  • Proficient in Microsoft Office 360

  • Excellent Interpersonal Skills

  • Professional Communication Skills – written and verbal with all levels of management.



Minimum Qualifications:

  • High school diploma or equivalent – prefer one to three years of clerical experience.

  • Knowledge of the operation of standard office equipment.

  • Knowledge of clerical and administrative procedures and systems, such as filing and record keeping.

  • Knowledge of principles and practices of basic office management.

  • Planning, prioritizing, and organizing.

  • Information gathering and information monitoring.

  • Attention to detail and accuracy.

  • Problem assessment and problem-solving.

  • Customer service oriented.

  • Flexibility

  • Adaptability

  • Teamwork Oriented

  • Clean driving record.

  • Ability to lift and carry up to 25 pounds.

WORK SCHEDULE


This is a full-time position with a typical working schedule of Monday - Thursday, 7:00 am - 4:00 pm, Friday, 7:00 am - 1:00 pm.
