At F&F Properties, we’re looking for a Bilingual English/Spanish Administrative Assistant to join our Property Operations team. This is a hands-on role for someone who takes pride in organization, accuracy, and follow-through while supporting our property management operations, leasing processes, and resident services.
This position involves hard work, attention to detail, and teamwork. You’ll join a very dedicated group that takes pride in providing excellent service to our residents and supporting one another to get the job done right.
Position Summary
The Administrative Assistant works under the supervision of the Senior Property Manager to assist Managers, Leasing Agents and residents throughout the designated portfolio. Responsibilities include general administration, leasing support, resident relations, fiscal oversight, and coordination of property operations.
Essential Duties and Responsibilities
Leasing Support
· Provide support to leasing agents in marketing apartments, showing units, and securing commitments and deposits from prospective residents.
· Ensure all applications and deposits are processed in accordance with company procedures and Fair Housing requirements.
· Prepare leases and all move-in documents; collect required signatures, SDG&E account numbers, and proof of renter’s insurance.
· Complete rental applications within the 72-hour requirement.
· Upload all rental and move-in paperwork into management software and Dropbox.
Resident Management and Satisfaction
· Provide responsive, professional service to residents with questions or concerns.
· Maintain high standards of resident service and relations at all times.
· Prepare and deliver resident notices and other required communications.
· Ensure properties are clean, safe, and well-maintained; report and assist in resolving issues promptly.
· Keep the Property Manager informed of any resident issues or concerns.
· Administrative Support
· Process rental applications quickly and accurately.
· Assist with move-in and move-out paperwork and inspections.
· Audit and maintain complete resident records.
· Support rent collection efforts through calls, texts, and emails per company policy.
· Collect rents, document payments, and assist in unlawful detainer processes as needed.
· Obtain proposals for property work, prepare renewal offers, and serve legal notices as directed.
· Process Notice to Vacate forms, schedule pre-move-out inspections, and oversee collections for move-out balances.
· Diligently document applicant and resident interactions in management software and Dropbox.
· Adhere to Fair Housing, ADA, and safety policies.
Other Duties
· Represent F&F Property Management, Inc. in a professional manner.
· Maintain business-like communication in person, on the phone, and via email.
· Complete assigned training courses within required timeframes.
· Promote F&F positively, including encouraging resident feedback and community engagement.
· Perform other related duties as assigned.
· Bilingual (English/Spanish) required – must be able to communicate fluently and professionally in both languages.
· Strong initiative and problem-solving skills.
· Detail-oriented with excellent organization and follow-through.
· Professional, courteous, and customer-focused.
· Ability to work independently and as part of a team in a fast-paced environment.
