Our Administrative Assistant plays a key role in keeping our office operations smooth, organized, and client‑focused.

Position Summary

The Administrative Assistant supports daily office operations, scheduling, caregiver communications, HR processes, and client file management. This is a fast‑paced, people‑focused role that helps ensure clients receive exceptional care and caregivers feel supported.

Key Responsibilities

  • Provide administrative support to the Administrator
  • Maintain a professional and organized office environment
  • Answer and route phone calls from clients, families, caregivers, and partners
  • Assist with caregiver scheduling and shift coordination
  • Prepare and manage administrative correspondence, forms, and documentation
  • Maintain accurate client and caregiver files
  • Support new client onboarding and prepare intake materials
  • Assist with payroll tasks, including timesheet verification
  • Support HR processes such as onboarding, credential tracking, and file maintenance
  • Complete client record closures when services end
  • Maintain basic reporting and statistics through our management system
  • Perform additional tasks as needed to support agency operations

What We’re Looking For

  • 2+ years of administrative experience (home care, healthcare, or customer service preferred)
  • Strong computer skills (Microsoft Office, scheduling software, email, etc.)
  • Excellent communication skills—professional, friendly, empathetic
  • Highly organized with strong attention to detail
  • Ability to manage multiple priorities in a fast‑moving environment
  • Minimum age: 18
  • Familiarity with medical or home care terminology is helpful but not required
  • Ability to type at least 50 WPM preferred
