Brown & Brown is seeking an Administrative Assistant to join our growing team in Kansas City, MO!
The Administrative Assistant provides comprehensive administrative and operational support to both the local office and assigned regional locations. This role serves as a key point of coordination, ensuring smooth daily operations, efficient communication, and timely completion of office and administrative tasks across multiple sites. Responsibilities include managing office logistics, supporting leadership and staff with scheduling and document preparation, coordinating meetings and events, maintaining records and systems, and assisting with general internal communications. This role will collaborate and partner with the other regional administrative teammates.
How You Will Contribute:
Assist in Reception duties including greeting and announcing visitors, offering hospitality, and directing them to a reserved resource, as needed; may need to respond and direct incoming phone calls and emails to the correct resource. May provide phone coverage for Central Region during personnel lunches, breaks, and personal time off
Process daily mail including sorting, scanning and assigning mail; Scan and email statements to Accounting and forward checks to the Lockbox; Distribute USPS, Express, and Hand delivered packages.
Liaise with building management, security and engineering personnel to resolve any building-related issues; Receive, investigate, and respond to all office-related complaints
Act as point person for all office contracted vendors
Maintains file and records for document destruction services.
Submit office and vendor invoices in accordance with regional process
Key point person for office and building Fire & Evacuation plans; Maintain accurate fire warden contacts and update and practice evacuation and active shooter plans, as applicable
Manage office facilities & supplies to maintain cleanliness and appearance and ensure a pleasant and functioning work environment
Administer and maintain any applicable office desk reservation system, issue guest passes, reserve conference rooms, meeting spaces
Surveil department’s group email box and process daily requests
Keep office informed of any office events
Skills & Experience to Be Successful:
Experience in administrative / facilities coordination duties in an office environment preferred
Excellent verbal and written communication skills
Technologically proficient, knowledge of Microsoft Office Suite including Outlook, Excel, PowerPoint
General insurance knowledge is a plus
Exceptional organization and time-management skills
Ability to work independently
Demonstrates a sense of urgency and dedication
Maintain professional appearance and demeanor
