Job Description - Administrative Assistant

Are you a highly organized and detail-oriented professional who thrives in a dynamic office environment? Axiom Consultants is seeking an experienced Administrative Assistant to join our dedicated team. This position plays a vital role in supporting the daily operations of our firm by managing communications and providing essential clerical support to our professional and technical staff.



You will be responsible for ensuring smooth office operations by handling general administrative duties, greeting clients, maintaining documentation, and facilitating effective internal and external communication. As an employee-owned company, every team member contributes directly to our continued success and growth.



Position Details:


We are open to candidates seeking either a part time schedule (minimum of 20 hours per week) or a full-time (40 hours per week) schedule.

Goals & Responsibilities
This position includes, but is not limited to, the following duties and responsibilities:



  • Maintain a well-organized office environment

  • Greet clients and visitors, providing a professional and welcoming atmosphere

  • Answer phone calls, route inquiries, and take messages as necessary

  • Assist professional and technical staff with administrative tasks as needed

  • Manage and organize documents, reports, and project files

  • Prepare and edit correspondence, memos, and documents such as legal descriptions, engineering agreements, contracts, and more

  • Assist in data entry and analysis as required

  • Help manage digital and physical project files

  • Maintain effective communication within the office and with external parties

  • Handle outgoing and incoming mail and assist in organizing conferences and seminars



Qualifications & Skills
The ideal candidate for this position will possess the following education, experience, and abilities:



  • High School diploma or GED, or an Associate’s Degree in Administrative Professional, Business Management, or related field

  • Proven experience as an administrative assistant or similar role

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe

  • Strong organizational skills and attention to detail

  • Excellent written and verbal communication skills

  • Ability to prioritize tasks, manage time efficiently, and work independently and as part of a team

  • Strong problem-solving and decision-making abilities

  • Must possess discretion and professionalism when handling sensitive information
