Job Description - Administrative Assistant - Cleveland County Election Board


Position Overview

The Administrative Assistant for Cleveland County Election Board provides essential administrative duties. This position is responsible for data entry and administrative functions. The role demands strong organizational, communication, and technical skills, coupled with a professional demeanor.

  • Data entry, filing, answering phones
Knowledge and Skills
  • Proficiency in office practices, procedures, and computer software, including Microsoft Office Suite.
  • Strong organizational and multitasking skills, with the ability to meet deadlines and prioritize tasks.
  • Excellent communication skills.
  • Strong analytical and problem-solving skills, with the ability to assess and improve operations.
  • Ability to interpret and apply complex rules, regulations, and policies.

Administrative Support:
  • Compose and prepare reports, technical materials, and correspondence, ensuring grammatical and content accuracy.
  • Maintain and organize office files, logs, and records while ensuring compliance.
  • Proofread and edit documents to meet professional standards.
  • Provide administrative support for special projects and tasks as assigned.
  • Manage communication channels, including website content, email updates, social media, and presentations.
  • Coordinate public relations campaigns and represent the County at civic and professional events.

  • Possess strong analytical and problem solving skills:  accurately interprets instructions and guidelines, analyzes complex situations, identifies key issues, patterns, and connections, and develops logical solutions. Proficient in critical thinking, anticipating potential problems, and innovatively addressing them.

Minimum Qualifications
  • Three (3) years of experience in administrative support.

Physical Demands and Working Conditions 
  • Work is typically performed in a climate-controlled office setting with exposure to moderate noise. While performing the duties of the job, employees are frequently required to talk, stand, and walk. This position requires extended periods of sitting and daily use of computers and phone. Must be able to remain in a stationary position 75% of the time.
  • Ability to stand, reach, and bend 50% of the time.
  • Operates a computer and other office productivity machinery, such as a calculator, copy machine/printer, office telephone 75% of the time.
  • Ascends/descends stairs 25% of the time.
  • Communicate with others accurately and effectively 100% of the time.
  • Ability to lift 25 lb.

Safety
The employee shall be knowledgeable and follow Cleveland County’s safety policies and procedures. The employee must immediately report any accidents, unusual occurrences, or any other safety-related issues to his/her supervisor. 

Travel
Less than 10% in-state/out-of-state travel required.

Special Requirements
  • Applicants must be currently authorized to work in the United States on a full-time basis without sponsorship.
  • Successful completion of a pre-employment background check
  • Must possess a valid driver's license from a U.S. State or Territory to perform necessary job-related travel.
