Job Description - Administrative Assistant- Compliance

Description

Maxwood Furniture is a rapidly growing furniture company with an expanding portfolio of brands such as Max & Lily, Plank + Beam, and Maxtrix. Since launching over two decades ago, we have established multiple sales channels including our DTC websites and third-party marketplaces. We are seeking a new member to add to our Compliance team. Are you ready to be a part of something amazing?

Position Overview

The Administrative Assistant works under the direction of the Compliance Manager and is responsible for organizing compliance documentation to ensure we're meeting all safety, regulatory and quality requirements in the US, Canada, and select international markets.

  • Under the Compliance Managers direction, organize, review, and manage the database for required regulatory compliance testing. 
  • Ensuring all yearly testing is started and completed on time. Updating as needed with new or changing regulatory requirements.
  • Maintain complete records of all regulatory compliance certifications as well as additional product specific certifications.
  • Create accurate and detailed sample lists and test request documents. Ensure accuracy of all submitted service orders by 3rd party testing laboratories. Review test report drafts, verifying all information is correctly listed and detailed before final compliance certification is issued.
  • Collaborate with technical team in Vietnam to maintain spreadsheet of product changes and communicate changes to relevant teams.
  • Assist with development and editing of assembly instructions for new and updating products. Ensuring all technical, hardware, and parts information is accurate. As well as building and assembly of furniture per instructions.
  • Maintain and update product data sheets in collaboration with technical team in Vietnam. Keeping relevant teams informed of any changes or additions as they become available.
  • Assist in building furniture samples during product development process and accurately document issues with assembly process or product quality.
  • Work with Content Team when necessary to ensure correct information is included on owned sites.
  • Special projects as needed related to QC and product development.

Requirements

  • 2+ years of relevant work experience.
  • Demonstrated ability leading improvement projects.
  • Clear and concise verbal and written communication skills.
  • Ability to exercise sound judgment and make decisions independently.
  • Excellent self-motivation skills.
  • Strong planning, strategizing, managing, monitoring, scheduling, and critiquing skills.
  • Ability to interact with a variety of levels both internal and external.
  • Ability to work with mainframe systems, reporting tools, and proficiency with Microsoft Office, especially Microsoft Excel.
  • Understanding or familiarity of ASTM, CPSC testing and reporting standards a plus.
