Administrative Assistant

Responsibilities:
• Provides administrative and operational support to the President and CHRO in Human Resources.
• Schedules and coordinates meetings and appointments for the company President, managers, and/or supervisors.
• Coordinates and manages travel logistics and activities, including accommodations, transportation, and meals for the company President and/or executives.
• Maintains calendar of the company President.
• Acts as the main point of contact for office support.
• Greets office visitors, clients, and delivery personnel.
• Downloads and codes American Express charges into QuickBooks; manages multiple company card downloads.
• Copies, faxes, and scans documents.
• Opens, sorts, and distributes mail and packages.
• Maintains office supply inventories (coffee, office supplies, and shipping supplies).
• Assists with shipping materials for programs.
• Enters and compiles company data.
• Updates and manages employee directory and telephone extension list.
• Coordinates office luncheons.
• Coordinates internal company events.
• Works with the IT Department to ensure proper operation of printers, changes toner, and tracks toner inventory.
• Organizes and tidies office, kitchen, and shared workspaces.
• Completes various duties as assigned by the President or CHRO.
• Maintains professionalism and strict confidentiality with all materials.
Required Skills and Qualifications:
• Four or more years of experience in an administrative role reporting directly to upper management.
• Proficiency in Microsoft applications (Word, Excel, and Outlook) and QuickBooks.
