Job Description - Administrative Assistant I

An Administrative Assistant will provide day-to-day administrative support to the Risk Department under direct supervision. The Administrative Assistant position must have strong attention to detail, particularly when documenting, showing a high level of accuracy with organizational skills. Critical for success are the abilities to multitask, prioritize and, provide excellent customer service. 


Key Responsibilities:




  • Maintain and promote a strong safety culture for all employees, vendors, and customers and follow all health, safety and environmental policies, procedures, and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions. 

  • Handle claims email inbox.

  • Handle claims voicemail inbox.

  • Place phone calls to various parties.

  • Set up new claims with high degree of accuracy, ensure claim information is accurately entered into the claims management system. Analyze claims records and resolve deficiencies under direction from claims supervisor.

  • Turn in claims to appropriate carriers.

  • Process bills for payment.

  • Perform transactional data entry into systems with a high degree of accuracy. Scan, organize, and file documentation while maintaining established filing and labeling system.

  • Schedule claims review meetings, produce and distribute claims review reports.

  • Provide administrative support to department: process mail, assist with correspondence, make copies, maintain standard department materials, and manage distribution. 

  • Work collaboratively with all team members inside and outside the Claims department.

  • Maintain department procedures and process documentation. 

  • Maintain department equipment, appearance, and cleanliness. 

  • Other duties as assigned.

What it takes:



  • High school diploma or GED, 0 to 3 years of related administrative experience, or an equivalent combination of education and experience. 

  • Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools is a plus.

  • Exceptional organizational and time-management skills, with strong attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to multitask and prioritize workloads in a fast-paced environment.

  • Strong problem-solving skills and a proactive approach to tackling challenges.

  • A high level of professionalism and discretion in handling confidential information.
