Job Description
Quinn Evans has an immediate opening for a Full-Time Administrative Assistant in our Ann Arbor office. This is an exciting opportunity for an independent, ambitious person looking to be part of the success and growth of our firm. The deal candidate is a team player who is highly organized, detail-oriented with good communication skills. The position requires initiative, flexibility, and a love of multitasking.
Responsibilities:
Administrative Support: Provide general administrative support to the team, including scheduling, handling phone calls, emails, correspondence, and greeting visitors.
Office Management: Oversee office organization and tidiness, including maintaining office equipment, office supplies, handling incoming and outgoing mail.
Communication: Act as a liaison between team members, clients, and external partners, ensuring effective communication and providing timely responses to inquiries.
Problem Solving: Handle routine issues independently and escalate more complex problems to the appropriate parties as needed.
Data Entry: Accurately input and maintain data into various systems or databases. This may include client information, financial records, or any other relevant data.
Meeting Support: Assist in the preparation and organization of meetings, including scheduling, sending out invitations, arranging meeting rooms, and preparing necessary materials.
Event Coordination: Help with the planning and execution of company events or conferences, including venue booking, logistics, and coordination.
Calendar Management: Schedule appointments, meetings, and conference calls, and handle any necessary changes or adjustments.
Travel Arrangements: Coordinate travel arrangements, including booking flights, accommodations, and transportation for employees or visitors as required.
Qualifications:
Significant proficiency/knowledge of Microsoft Office
Strong organizational, oral, and written communication skills and the ability to be flexible.
Self-starter and team-oriented
Attention to detail and accuracy in work, professional and friendly demeanor, with excellent interpersonal skills.
Flexibility and adaptability to changing priorities and requirements.
Highly organized and professional with the ability to prioritize and manage multiple tasks simultaneously.
