We are HIRING an Administrative Assistant for a manufacturing company located in Naperville.
This is a super opportunity for anyone with experience and a desire to excel.
Desirable 1st shift hours: Monday-Friday 8:00am - 5:00pm
Pay rate: $23.00/hr.
Administrative Assistant Job Responsibilities:
- Sending out shipment emails first thing in the morning.
- Entering shipment information in Wrike for project.
- Creating server files for new jobs.
- Creating BAH letters and following up as needed.
- Entering stock ship orders or sample orders.
- Following up on OFA status if exceeding 1-2 months.
- Scheduling all kick off meetings including Sales, PM, Drafter less than 24-48 hours after order is entered.
- Documenting when an order is over 6 months in hold or OFA status for sales to requote.
- Maintaining documentation in SharePoint for procedures and deliveries.
- Creating new spreadsheets for tracking changes and SCRUM for new procedures.
- Admin to alert PM if deposits haven't been made and follow up with customer about paying.
- Fill in Pipedrive where automation can’t. (insert rep based on zip and send email to rep)
- Order Entry; Create in shop manager.
- Virtual Quote Log
- Vender Setup Form/Credit App & Terms follow up.
- Send email to reps on commission jobs.

Requirements:
- General Microsoft Office - Excel, Word, Outlook
- Detail oriented person-accuracy more important than speed
- Basic math skills-ratios, measurements
- Comfortable with customer and vendor contacts by phone
