Job Description - Administrative Assistant - Mission Critical

The Weitz Company is hiring an Administrative Assistant II to support the leadership team of one of our quickest growing business units, from the Des Moines, IA office. The Administrative Assistant II plays a crucial role in keeping the business unit leadership team organized to ensure seamless coordination of daily priorities, meetings, communications and initiatives. This role must be able to work in the office Monday – Friday during standard business hours. What You’ll Do:



  • Provide high-level administrative support to business unit leadership

  • Accurately prepare, review, and approve expense reports

  • Prepare and coordinate staff, manager and leadership meeting agenda, material and presentations; record and distribute meeting notes and action items

  • Maintain accurate organizational and staffing charts; update in systems as needed

  • Coordinate events, meetings and travel arrangements

  • Communicate information in a professional and timely manner

  • Assist with new employee onboarding responsibilities, to include scheduling of onsite interviews and pre-employment testing, coordination of new employee onboarding and ensuring first day preparation is completed


 


What We’re Looking For:



  • Experience:

    • 4+ years of experience working in an administrative assistant equivalent role

    • Experience supporting executive-level employees and initiatives is a plus



  • Skills:

    • Extremely organized and comfortable multi-tasking

    • Positive attitude and excellent interpersonal skills

    • High level of professionalism and tact

    • Ability to proactively anticipate needs

    • Excellent written and verbal communication skills

    • Desire to provide quality work in a timely manner

    • High level of confidentiality



  • Technology:

    • Strong experience with Microsoft Office including Word, Excel, PowerPoint, and Outlook

    • Ability to learn specific job-related software upon hire
