Administrative Assistant (On\u2011Site)\n\nLocation: On\u2011site \nEmployment Type: Full\u2011Time\n\nPosition Summary\n\nWe are seeking an experienced and highly organized Administrative Assistant to support the CIO in a complex, fast\u2011paced global environment. This role requires strong communication and interpersonal skills, the ability to manage constant change, and a high level of efficiency and professionalism. The Administrative Assistant will also serve as a backup to another Executive Assistant, ensuring seamless continuity of support. This position requires regular on\u2011site presence.\n\nKey Responsibilities\n\n * Provide high\u2011level administrative support to leaders within a complex, global organization.\n\n * Manage complex and frequently changing calendars across multiple time zones, balancing competing priorities with accuracy and professionalism.\n\n * Anticipate shifting business needs and proactively adjust schedules, meetings, and logistics in real time.\n\n * Serve as a backup to an Executive Assistant, stepping in seamlessly during absences or periods of high demand.\n\n * Coordinate meetings, prepare agendas and materials, and communicate follow\u2011ups to ensure alignment and completion of action items.\n\n * Arrange domestic and international travel, including itineraries, accommodations, and related logistics.\n\n * Prepare, submit, and track executive expense reports in a timely and accurate manner, ensuring compliance with company policies and resolving discrepancies as needed.\n\n * Act as a trusted point of contact, handling sensitive and confidential information with discretion.\n\n * Build and maintain strong working relationships with executives, stakeholders, and administrative partners across regions and functions.\n\n * Support internal communications, special projects, and ad hoc requests as needed.\n\n\n\n\nRequired Qualifications\n\n * 5+ years of proven experience as an Administrative Assistant or Executive Assistant in a fast\u2011paced, complex global or matrixed environment.\n\n * Ability and willingness to work on\u2011site to provide in\u2011person administrative and executive support.\n\n * Excellent written and verbal communication skills.\n\n * Strong interpersonal skills with the ability to collaborate effectively and navigate diverse working styles.\n\n * Demonstrated ability to manage constant change, time\u2011sensitive priorities, and competing demands with composure.\n\n * Highly efficient, detail\u2011oriented, and able to multitask without sacrificing accuracy or quality.\n\n * Strong organizational, time\u2011management, and problem\u2011solving skills.\n\n * Ability to work independently while exercising sound judgment and discretion.\n\n * Advanced proficiency in Microsoft Office tools, including Outlook, Teams, Word, Excel, PowerPoint, and Microsoft Copilot; experience leveraging Copilot or other AI\u2011enabled productivity tools to improve efficiency is preferred.\n\n\n\n\n## Qualifications\n\n### Education:\n\nHigh School Diploma/GED (Required)\n\n### Skills\n\nMicrosoft Excel, Microsoft Office, Microsoft PowerPoint, Microsoft Teams, Microsoft Word, Verbal Communications, Writing\n\n### Certifications:\n\n### Languages:\n\n### Years of Experience:\n\n4 - 7 Years\n\n### Work Experience:\n\n## Additional Information\n\n### \n\n### Shift:\n\n10-Day 8-Hr (United States of America)\n\n### \n\n### Travel:\n\nYes, 10% of the Time\n\n### \n\n### Relocation Eligible:\n\nNo\n\n### Referral Payment Plan:\n\nEmployee Referral (Standard)\n\nU.S. Salary Range:\n\n$34.50 - $47.90\n\nThe salary offered to a selected candidate will be based on multiple factors including location, hire grade, job-related knowledge, skills, experience, and with consideration of internal equity of our current team members.
