Job Description - Administrative Assistant - Quality Assurance, Compliance & Business Management

The Administrative Assistant - Quality Assurance and Compliance plays a critical role in supporting the organization’s commitment to delivering high -quality products and services to its clients while ensuring strict adherence to regulatory, industry, and internal standards. This position is directly responsible for developing, implementing, and maintaining quality management systems (QMS), monitoring compliance with relevant policies and procedures, and driving continuous improvement across departments. This also includes working closely with cross functional teams to foster a culture of continuous quality, safety and accountability by providing guidance on compliance requirements, conducting audits, analysing risks and ensuring operations are aligned with the company’s strategic goals.

  • Acts as a point of contact for external certification bodies and plays a vital role in facilitating audits and fulfilling compliance requirements.
  • Encourages and provides support for cross -departmental collaboration by acting as the main point of contact for guidance on quality standards and compliance to ensure all teams are aligned with the organization's quality objectives.
  • Analyse, document and create action plans to mitigate risks through the collaboration with departmental leaders to continuously identify gaps and maintain quality standards.
  • Develops and maintains robust documentation and records management systems, covering formatting standards, review cycles, version control, distribution protocols, and the upkeep of quality control records.
  • Partners with the Training and Development Department to raise staff awareness and understanding of new quality initiatives, system modifications, and continuous improvement measures.
  • Conducts quality evaluations and analyzes customer feedback to ensure service and product standards meet internal and client expectations.
  • Investigates and recommends certifications beyond traditional ISO standards to support the company’s quality management strategy and broader business goals.
  • Acts as the primary liaison with external certification bodies, coordinating all activities related to surveillance and recertification audits.
  • Assist in the development, implementation, and monitoring of compliance programs that align with MLC and ISO standards and local regulations.
  • Any other duties assigned


Requirements

  • Minimum of a bachelor’s degree in Business Management/ Administration or any other related fields.
  • Minimum of three (3) years’ experience in quality assurance/control, in an established ISO Certified Organization.
  • Ability to demonstrate analytical, strong communication and reasoning skills.
  • Knowledge of general quality management systems, MLC and ISO.

Knowledge
  • Compliance Monitoring and Implementation: Ability to design and monitor compliance programs in line with legal and regulatory requirements.
  • Document Preparation and Reporting: Proficient in preparing detailed, accurate reports and documentation for management and regulatory authorities.
  • Analytical Skills: Strong analytical skills to identify potential compliance risks, interpret regulations, and recommend corrective actions.
  • Risk Management: Understanding of how to identify and mitigate risks related to compliance processes.

  • Attention to Detail: Ability to maintain high levels of accuracy and precision when managing compliance records.
  • Communication Skills: Strong verbal and written communication skills to interact with internal stakeholders, expatriate employees, local authorities, and regulatory Bodies.
  • Confidentiality: Able to maintain the confidentiality of sensitive employee and company data, ensuring compliance with privacy laws.
