SUMMARY

The Receptionist/Admin Assistant plays a key role in providing the first contact in greeting all visitors including customer's, vendors, applicants, employees, and guests while additionally managing incoming phone calls to the front desk. This role is customer service focused and displays a high degree of professionalism which contributes to the credibility and success of AGC Multi Material America, Inc. This role is also responsible for providing administrative support to the Purchasing Department and Human Resources Department.

DUTIES AND RESPONSIBILITIES

  • Telephones – answer/direct calls in a timely, professional, and friendly manner. Screen personal and sales calls. Transfer calls to appropriate individuals.
  • Greet visitors and vendors. Notify company representative. Sign in and issue badges and safety glasses.
  • Issue applications to applicants. Answer general questions regarding open positions.
  • Sort and distribute incoming mail.
  • Process outgoing mail and log all required data for the mail machine.
  • Provide positive and pro-active support to employees; assist with forms, questions, etc.
  • Maintain sign-in/sign-out sheets.
  • Assist with special events for employee engagement or other events as needed.
  • Provide clerical support to the Purchasing Department and Human Resources Department.
  • Enter purchase orders into computer.
  • Follow-up on current and past due purchase orders.

REQUIRED SKILLS AND QUALIFICATIONS
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • Proficient in handling detailed information and the timely processing of that information to ensure customer satisfaction.
  • Team oriented and have ability to relate successfully to a diverse group of people.
  • Excellent interpersonal skills are required to deal with customers, both foreign and domestic, business and distribution contacts, inside sales personnel and internal personnel.
  • Must type 40-50 words per minute, have a degree of proficiency with personal computer usage including MS Office, Outlook, Excel & Oracle Applications.
  • Ability to perform multiple tasks simultaneously and to handle stressful situations.
  • Requires the ability to maintain strict confidentiality.
  • This position requires a High school diploma or GED, a minimum of one-year of experience involving answering phones with multiple incoming lines, and a minimum of one year experience working in an office environment and interfacing with the general public.

LANGUAGE SKILLS
The ability to communicate effectively with employees at all levels. Possess effective speaking writing and comprehension skills in the English language.

REQUIRED SAFETY EQUIPMENT/TRAINING
AGC follows all required OSHA (Occupational Safety and Health Administration) standard industry guidelines in-regards to the use of personal protective equipment and safety training required for the specific job function.

The physical and environmental categories described below are representative of those that must be met by an employee to safely and successfully, perform the essential functions of this position.

PAY
$20.00/hr

WORK SCHEDULE/OVERTIME
Monday – Friday. Overtime as required.
