R.W. LaPine Services Division Administrative Assistant Role Description

R.W. LaPine is a fourth generation Mechanical Contractor currently covering Mid & Southwest lower Michigan with our headquarters located in Kalamazoo. As an established leader in the Plumbing, Piping, HVAC Commercial Service and Custom Metal products businesses, R.W. LaPine continues to experience significant growth in the markets we serve. We are looking for a Services Division Administrative Assistant to join our team! The Administrative Assistant will be a key member of the RWL Service team. This role will be responsible for performing many administrative tasks.

Your tasks will include, but not be limited to:

• Answer and direct phone calls, emails, and visitors in a professional manner


• Screen and route all customer service work requests


• Perform general administrative duties including filing, copying, scanning, and data entry


• Maintain office records, documents, and filing systems


• Assist scheduling meetings, appointments, and conference rooms


• Assist with preparing reports and correspondence


• Order and maintain office supplies and equipment


• Receive, sort, and distribute mail and packages


• Support billing or other accounting functions as needed


• Maintain confidentiality of company and employee information


• Coordinate travel arrangements and company events when required


• Perform other administrative duties as assigned

What You will Need to Perform the Role:

• Attention to detail and accuracy, while operating in an efficient manner


• Strong organizational and multitasking skills


• Excellent verbal and written communication skills


• Ability to work independently and as part of a team


• High school diploma or equivalent required


• Proficient with Microsoft Office Suite (Outlook, Excel, Word) and Adobe Acrobat


• Strongly prefer 3+ years of administrative or office experience

Physical Demands:

• Occasional standing, walking, or lifting up to 15 pounds


• This position may require the ability to use a computer for extended periods of time
