Assignments may be of a diverse scope and related to various functional areas.\n\nMinimum Qualifications\n\n\u2022 Bachelor\u0027s degree and 2+ years of Administrative Assistant or related work experience. \nOR \nAssociate\u0027s degree and 4+ years of Administrative Assistant or related work experience. \nOR \nHigh School Diploma or equivalent and 6+ years of Administrative Assistant or related work experience. \n \n*Completed advanced degrees in a relevant field may be substituted for up to two years (Master\u2019s = one year, Doctorate = two years) of work experience.\n\nPreferred Qualifications:\n\n\u2022 3+ years of work experience in a role requiring interaction with senior leadership (e.g., Director level and above).\n\n\u2022 3+ years of experience working in a global, matrixed organization.\n\nPrincipal Duties and Responsibilities:\n\n\u2022 Provides complex assistance and support to a Director, Sr. Director, or above. \n\u2022 Acts as an information source for departmental/company policies and procedures. \n\u2022 Compiles information from various sources and prepares complex correspondences, reports, spreadsheets, and presentations with the appropriate syntax and grammar. \n\u2022 Manages advanced calendar needs for multiple directors and above, including making calendar decisions on their behalf to effectively prioritize their time and resources. \n\u2022 Expertly completes various office tasks (e.g., iProc creation, using a Pcard, maintaining office files, supplies, and equipment, submitting expense reports and checking requests, arranging for shipping, maintaining vendor tracking and support, etc.). \n\u2022 Coordinates advanced domestic and complex international travel (flights, hotel, rental cars, etc.) for multiple travelers and trips with multiple connections and countries. This includes advanced understanding travel visas and documentation as well as expense reconciliation. \n\u2022 Answers, screens, routes and/or responds to internal (with exposure/requests from multiple directors and above) and external emails. \n\u2022 Arranges and coordinates various complex types of meetings including luncheons, conferences, and team building events. These events may include external customers and vendors. \n\u2022 Provides support and collaboration with other administrative employees. \n\u2022 Recommends creative ways to improve existing methods that increase administrative efficiencies; identifies ways to translate others\u2019 ideas into solutions and procedures.\n\nLevel of Responsibility:\n\n\u2022 Works independently with minimal supervision.\n\n\u2022 Provides supervision/guidance to other team members. \n\u2022 Decision-making is significant in nature and affects work beyond immediate work group. \n\u2022 Requires verbal and written communication skills to convey complex information.
