Job Description - Administrative Assistant to the Athletic Director

Meadowbrook Academy is currently accepting applications for an immediate opening for our Administrative Assistant to the Athletic Director.



QUALIFICATIONS:  



  • Requires workable knowledge of Florida High School Athletic Association Rules and Regulations and Academy/Church policies and procedures. 



  • Good organizational and communication skills. 



  • Computer/Word Processing Skills 



  • Knowledge of various sports 



  • Food Handler’s Certification 


 


REPORTS TO:  



  • Athletic Director (immediate) and Academy Principal 


 


JOB GOAL:  



  • The Administrative Assistant
    to the Athletic Director is responsible for assisting in developing, maintaining, and implementing a highly efficient, organized and professional athletic department.   
     


 


DUTIES AND RESPONSIBILTIES  



  • Support Athletic Director in implementing the mission and vision for Meadowbrook Academy. 



  • Assist in the preparation of a master sports calendar that includes conference and non-conference games/events. This calendar must be cleared through the principal prior to posting. 



  • Submit event planners for the coordination of gym use for all practices and games.   



  • Submit bus request for all away games and conference competitions. 



  • Coordinate all athletic departure times with Principal and arrange transportation for all athletic teams.  



  • Coordinate all travel arrangements and overnight accommodations for players and coaches competing in post-season competitions. 



  • Assist the Athletic Director in hiring all officials for games and competitions hosted by the Academy.  Also, responsible for contacting all officials to remind them of games they are scheduled to cover on a weekly basis.  Log must be kept in Athletic
    Director’s office.  
     



  • Confirm officials’ contracts and all non-conference contest contracts. 



  • Assist with securing game volunteers in the following areas: announcers, clock operators, score keepers, line judges, gate keeper for collection of admission fees, etc. and submit the list of these volunteers to the principal for approval and background check. 



  • Work with the Athletic Director to ensure eligibility for all transfer students.
     



  • Responsible for supervising all ordering and stocking supplies for game concessions. Shopping for supplies when needed. 



  • Scheduling volunteers to staff the concession stand; or working the stand if no volunteers are available; or closing the stand if no volunteers are available. 



  • Must maintain current food handler’s certification for food preparation and supervise all staffing for concession stands.  



  • Accounting for all athletic receivables and expenditures. Handling day’s receipts, i.e., retrieving money from cash drawer.  Transporting all money collected from all games/competitions to located in the Athletic Director’s office for deposit. 



  • Assist with coordinating physical education faculty members to set up facilities for all activities. 



  • Work with the Athletic Director in planning athletic banquets. 



  • Coordinating and ordering supplies for the Mustang Booster merchandise booth. 



  • Maintain records and inform coaching staff of their current first aid status. 



  • Maintain a file on all student-athletes including a current physical and medical release form.   



  • In the absence of the Athletic Director, act as Game Administrator for all home games, league, and tournament playoff activities that are hosted at the Academy. 



  • Assist with promoting a program that exemplifies integrity, honor, and good Christian sportsmanship. 



  • Responsible for welcoming all teams, coaching staff, and guests from visiting schools. 



  • Communicate with the Athletic Director concerning financial requests to the athletic booster club.   



  • Serve as a positive representative of the Academy to MBAs constituency. 



  • Assist and supervise on-site activities and perform administrative duties during the months of July and August.  All vacation time is to be approved through the Athletic Director. 



  • Responsible for assisting
    the Athletic Director with oversight of summer leagues and practices.
     



  • Responsible for reporting all funds raised through concessions, gate fees, etc. 



  • Responsible for maintaining use and care of all athletic equipment and supplies.

TERMS OF EMPLOYMENT:  



  • Full-time (year-round) 



  • Weekly hours will vary due to home game schedule. 



  • Salary and benefits shall be paid 12 months out of the year.    



  • Length of the work year and hours of employment shall be those established by Administration
