Job Description - Administrative Assistant/Office Coordinator

CX2 is a next-generation defense technology company founded to deliver spectrum dominance for the United States and our allies. CX2’s AI-enabled hardware and software platforms detect, disrupt and defend the electromagnetic spectrum across land, air, sea and space domains.

We are seeking an Administrative Assistant/Office Coordinator to assist our growing early-stage defense company. Our AA will be responsible for managing calendars, coordinating travel arrangements, scheduling/preparing onsite meetings, ordering/stocking kitchen supplies, collecting mail/coordinating shipping issues, and assisting with other various facility-related duties.
 
This role will require strong organizational skills and an ability to handle confidential information with discretion. This person will be our onsite go-to administrator, juggling multiple calendars and communications while also ensuring the office is well-stocked and tidy.
 
This position requires a daily in-office presence at our headquarter location in El Segundo.

Key Responsibilities

    • Calendar Management: Managing schedules, scheduling meetings, appointments, and prioritizing important matters
    • Communication Management: Answering phone calls, managing emails, drafting correspondence, and filtering incoming communications
    • Travel Arrangements: Booking travel, arranging accommodations, and managing itineraries. 
    • Document Preparation: Creating presentations, reports, memos, and other documents as needed
    • Meeting Coordination: Setting up meetings, preparing agendas, taking minutes, and distributing follow-up information as needed
    • Onsite Visits: Working with teams to coordinate all onsite visits, ensuring visitors have signed in/executed NDAs, preparing any special accommodations (including SWAG or food/beverages) needed pre- or post-meeting(s), sending out reminders and recaps, tidying up before and after all visits
    • Project Assistance: Supporting on special projects as assigned
    • Office Management: Working with Operations Lead, responsible for assisting with ordering office supplies, managing office logistics and repairs, stocking kitchen/bathrooms, taking out trash, collecting mail, coordinating shipping of parts and products with Lab Technician, and being present onsite daily for any unexpected issues
    • Confidentiality: Maintaining confidentiality of sensitive information, including proprietary documentation

Required Skills

    • A minimum of 3 to 5 years administrative experience, preferably within a fast-paced environment
    • Excellent communication skills, both written and verbal 
    • Strong organizational and time management skills 
    • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Google Docs
    • Ability to prioritize tasks and manage multiple demands 
    • A can-do attitude where no job is seen as too big or too small, from coordinating visits from high-ranking government officials to taking out the trash
    • Discretion and ability to handle confidential information 
    • Detail-oriented and accuracy in work 
    • High School diploma required; Bachelor's Degree preferred
    • Must be able to be onsite in El Segundo, CA daily; local candidates only (no relocation offered)
    • Ability to work extended hours and/or weekends as needed for mission critical deadlines.

ITAR Requirements

    • To Conform to US Government Regulations, applicant must be a (i) U.S. Citizen or National, (ii) U.S. lawful, permanent resident (aka green card holder), (iii) Refugee under 8 U.S.C § 1157, or (iv) Asylee under 8 U.S.C. § 1158, or be eligible to obtain the required authorizations from the U.S. Department of State. Bonus Points

    • Start-up experience highly desirable
    • Prior experience supporting multiple executives at once preferred
    • Experience with Confluence, Sharepoint, Drive, Slack and other collaborative tools highly desirable

$75,000 - $85,000 a year
Exact compensation may vary based on skills and experience.
