Job Description - Administrative Assistant/Receptionist

Avocet MRO Services has an immediate opening at our location in Sanford, Florida for an Administrative Assistant/Receptionist.  Benefits include Paid Time Off, Paid Holidays, 401K, and Medical/Dental/Vision/Supplemental Insurance.



Summary


This front-desk role is pivotal in providing excellent first impressions, maintaining smooth office operations, and supporting our staff with a range of administrative tasks.  The ideal candidate is highly proficient in desktop computer applications, exhibits a polished and courteous demeanor, and thrives in a fast-paced environment.  Bilingual fluency in English and Spanish is preferred.



Duties



  • Greet and assist visitors, clients, and vendors with professionalism and courtesy

  • Sign guests in to the company computer system

  • Monitor Reception area and ensure that no unapproved visitors are permitted access to the facility

  • Answer and direct phone calls in a timely and efficient manner

  • Manage incoming and outgoing correspondence, including emails, and packages

  • Perform general administrative duties such as data entry, filing, scanning, and copying

  • Schedule and coordinate appointments, meetings, and conference rooms

  • Maintain a clean and organized front office and reception area

  • Assist various departments with document preparation and clerical support

  • Requisition office supplies and manage inventory

  • Uphold confidentiality and handle sensitive information with discretion

  • Translate and communicate basic information between English and Spanish, as needed

  • Assist in planning company events

  • Create documents in Microsoft Word and Microsoft Excel such as company newsletters, event budgets, signs, letters, etc.

  • Coordinate correct completion of paperwork with employees and transmittal to appropriate agencies when applicable

  • Schedule employee training



Qualifications



  • High school diploma or equivalent

  • 2+ years of experience in a receptionist or administrative support role

  • Strong desktop computer skills (Microsoft Office Suite, Email, and Scheduling tools)

  • Strong online computer skills (Microsoft 365, researching various topics, etc.)

  • Excellent verbal and written communication skills in English (additional fluency in Spanish preferred)

  • Reliable, punctual, and able to work independently or as part of a team

  • Professional appearance and demeanor

  • Strong organizational skills and attention to detail

  • Ability to handle multiple tasks and prioritize effectively



Preferred Skills



  • Experience in a bilingual or multicultural work environment

  • Strong knowledge of office equipment such as printers, fax machines, and multi-line phone systems



Work Environment

This position is located at our aircraft maintenance facility at an active airport.  The Administrative Assistant/Receptionist works in a front office setting adjacent to an airplane hangar, where you'll be part of a busy, hands-on aviation operation.  While the office space is climate-controlled and professional, you may occasionally hear the sounds of aircraft engines, maintenance tools, and hangar activity nearby.  At times, you'll encounter the distinct smells associated with aviation maintenance - such as jet fuel, lubricants, or cleaning solvents - especially during high-traffic periods.  This unique setting offers a dynamic, fast-paced workplace ideal for individuals who enjoy being close to the action in the aviation industry, while still working in an administrative and customer-facing role.

The physical demands of this position are typical for an office-based receptionist role.  The employee must be able to:



  • Sit for extended periods while using a computer or answering phones

  • Use hands and fingers for typing, writing, and handling paperwork

  • Frequently walk short distances within the office or facility

  • Occasionally lift and carry office supplies or packages up to 25 pounds

  • Speak clearly and listen effectively in person and over the phone

  • Maintain focus and attention to detail in a busy, sometimes noisy environment
