Job Description - Administrative Assistant-Temporary Full Time

Location: Little Rock


Position: TEMPORARY FILL-IN for  Administrative Assistant - Full-time shift


Schedule: Monday - Friday, 8:00 AM - 4:30 PM 


Job Overview:


This is a full-time, temporary administrative position created to provide coverage during an employee’s leave of absence. The role requires a standard 40-hour workweek. The duration of the assignment cannot be precisely defined; therefore, candidates must be able to commit to the position on a temporary basis until coverage is no longer required.


 Liquid Environmental Solutions is seeking a dedicated and organized Administrative Assistant to join our team. The ideal candidate will possess excellent multitasking abilities, attention to detail, and strong communication skills. This role is essential in ensuring smooth daily operations, supporting office and field teams, and providing exceptional customer service.


Key Responsibilities:



  • Answer Incoming Calls and Emails: Serve as the first point of contact for clients and customers, addressing inquiries promptly and professionally.

  • Invoicing: Prepare, process, and manage invoices, ensuring accuracy and timely submission.

  • Research and Information Gathering: Collect and analyze data to support business decisions and operations.

  • Report Data: Compile and present reports related to operational activities.

  • Prepare Daily Paperwork and Routes: Organize and distribute daily work schedules and documentation for field technicians.

  • Review Tech Notes: Assess and summarize technician notes to ensure accurate record-keeping and billing.

  • Write Invoice Summaries: Create concise summaries for client invoicing, ensuring all details are clear and comprehensive.

  • Dispatching: Coordinate and dispatch field technicians for service calls, ensuring efficient use of resources.


Skills and Qualifications:



  • Multitasking: Ability to handle multiple tasks and prioritize effectively in a fast-paced environment.

  • Organization: Strong organizational skills to efficiently manage paperwork, schedules, and data.

  • Problem-solving: Aptitude for identifying issues and implementing effective solutions.

  • Attention to Detail: High level of accuracy in all aspects of work.

  • Team Player: Collaborative attitude, working well with others to achieve common goals.

  • Excellent Communication and Listening Skills: Clear, professional communication with both internal teams and external clients.

  • Cool Under Pressure: Maintain composure and effectiveness in stressful situations.


Technical Skills:



  • Computer Knowledge: Proficiency in scanning, printing, typing, and other basic computer functions.

  • Program Knowledge: Knowledge of Service Titan is a plus but not necessary. Familiarity with Outlook, Microsoft Word, and Excel is important.


Experience:



  • Prior experience in administrative roles, with a focus on invoicing, scheduling, and report generation.
