Job Description

Position:  Administrative Coordinator

Location: Reno, NV - USA Parkway Area

Reports To:  General Manager

Day Shift - 7:30am - 4:00pm - Monday thru Friday 

Bi-Annual Bonuses / Weekly Payroll Check

Job Summary:

Responsible for handling general office tasks and administrative duties, such as assistant general manger/leadership with projects, purchasing, invoices, payroll. Coordinate and organize work-shops, employee events. Reporting and maintaining attendance/bonus data.

Primary Responsibilities:

  • Assist General Manager.
  • Assist management/leadership in all departments with projects, payroll, purchasing,      invoices, paperwork etc.
  • Keep update on employees in each department, basic contact information,      locations, fire drill, sweatshirt/t-shirt sizes, birthday and work anniversary lists etc.
  • Update and maintain TV slides upcoming events, birthdays, anniversaries, internal      communications, open enrollment etc. 
  • Coordinate and facilitate sending corporate Reno Events/Activities.
  • Mail out employee birthday cards and get birthday celebration treats for each      month, throughout the year.
  • Send flowers for employees on different occasions (when requested).
  • Make and create personal candy bags for warehouse employees’ birthdays.
  • Purchases and facilitates sweet treats each month for warehouse birthday      celebrations.
  • Administrative duties and responsibilities.
  • Check mail on a weekly basis as well as sending out all out-going mail      throughout the facility.
  • Assist HR with weekly review timecards, payroll processing for regular employees and temporary and special projects.
  • Assist HR with entering temporary employees badges in payroll system.
  • Coordinate and facilitate temporary employee orientation.
  • Handle weekly temporary employee Payroll Reports for Staffing Agencies.
  • Keep track of attendance regarding warehouse/office employees for leadership in      all departments and for bonus purposes.
  • Keep track of PTO/Bonus sheets.
  • Purchase for RDC, non-inventory items.
  • Coordinate with Education Department for RDC Workshops.
  • Coordinate Bus Schedules, meals (Breakfast, Lunch & Dinner) for RDC Workshops.
  • Coordinate Bus Schedules, meals,(Breakfast, Lunch & Dinner) for RDC Corporate      Meetings, Schluter Systems (companywide).
  • Assist scheduling meetings, classes etc.
  • Meet/Greet  guests, vendors, new employees (regular & temporary) etc.
  • Rectify monthly credit card receipts for GM & Education Department.
  • Create/update monthly calendar for management/leadership, PTO, Schedules, Appointments      etc.
  • Participate and facilitate monthly Event Committee notes and activities.
  • Participate and facilitate monthly Solution Group ideas, suggestions etc.

Requirements

 Skills/Requirements:

  • Excellent verbal and written communication skills
  •  Proficient in MS Windows and MS Office
  • Two (2) years clerical experience
  • Ability to work in a team environment and take initiative
  • Well organized and detail oriented
  • Maintain high level of confidentiality
  • Good attendance is required

Education Requirements

  • High school diploma or equivalent
