Build the Systems That Support Justice



The Office of the Fulton County Clerk of Superior and Magistrate Courts is seeking an exceptional professional to serve as an Administrative Coordinator I (Budget, Procurement & Travel Coordinator) within the Budget, Procurement & Grants Division.



This is not a traditional administrative support position. This role serves as a key operational partner supporting procurement, budgeting, grants administration, vendor management, travel coordination, financial tracking, reporting, and special projects that help keep one of Georgia's largest and most complex court systems operating effectively.  The successful candidate will work directly with leadership, collaborate across multiple divisions, and help coordinate initiatives that impact employees, vendors, customers, and justice partners throughout Fulton County.



This position offers a unique opportunity to gain hands-on experience in government operations, budgeting, procurement, grants administration, project coordination, and organizational leadership while contributing to meaningful public service.

Key Areas of Responsibility



Procurement Administration



  • Process requisitions, supply requests, and procurement-related documentation in accordance with County and COSMC procurement requirements.

  • Coordinate procurement approvals, contract routing, vendor onboarding activities, and purchasing workflows.

  • Maintain procurement records and assist with procurement compliance activities.

  • Coordinate vendor communications, meetings, site visits, walkthroughs, and service appointments.

  • Assist with procurement tracking, reporting, and workflow management.


Budget and Financial Coordination



  • Process invoices and payment requests in accordance with established policies and procedures.

  • Track invoice status and maintain supporting documentation.

  • Assist with budget monitoring, expenditure tracking, reconciliations, and financial reporting.

  • Support GAX tracking, reporting, and analysis activities.

  • Prepare operational, financial, and management reports.

  • Maintain spreadsheets, reporting tools, and departmental tracking records.

  • Assist with budget development and analysis activities as assigned.


Travel Administration



  • Coordinate conference registrations, hotel accommodations, airfare, and travel arrangements.

  • Prepare travel approval packages and supporting documentation.

  • Maintain travel schedules and tracking records.

  • Assist with travel reimbursements and reconciliation activities.

  • Serve as a backup resource for travel administration functions.


Grants and Administrative Support



  • Assist with grants administration, reporting, and documentation tracking activities.

  • Maintain departmental files, records, and operational documentation.

  • Support audit preparation and compliance initiatives.

  • Coordinate DocuSign routing, approvals, and workflow management.

  • Support records management and document retention activities.


Operational Coordination



  • Serve as a liaison between departments, vendors, employees, and external stakeholders.

  • Support cross-functional projects and operational initiatives.

  • Assist with process improvement efforts and workflow documentation.

  • Coordinate meetings, follow-up items, and action tracking.

  • Perform additional administrative and operational duties as assigned.

Minimum Qualifications



  • High School diploma or GED required.

  • Associate's degree in secretarial science, office administration, business administration, public administration, finance, accounting, or a related field preferred.

  • Five (5) years of progressively responsible secretarial, administrative, office management, customer service, records management, operational support, procurement, budget, finance, grants, travel, or related experience; or any equivalent combination of education, training, and experience which provides the requisite knowledge, skills, and abilities for this position.

  • Equivalent combinations of education, training, and experience may be considered.



Specific License or Certification Required


May require possession and maintenance of a valid State of Georgia Notary Public certification.

Official Classification Summary


The purpose of this classification is to serve as the office manager and primary administrative support resource for a major division or department.


Administrative Coordinators are broadly responsible for coordinating administrative, operational, financial, procurement, records management, customer service, and departmental support functions. Employees in this classification exercise independent judgment, coordinate multiple work activities, maintain records, process financial and purchasing transactions, support departmental leadership, and serve as liaisons between departments, staff, vendors, and external stakeholders.


Additional duties and responsibilities may be assigned in accordance with the Fulton County Administrative Coordinator I classification specification.

Working Conditions


Work is performed in a professional court and office environment with frequent public interaction. The position may involve working in high-conflict situations and exposure to safety and security risks.  Positions in this class typically require talking, hearing, seeing, sitting, standing, walking, bending, reaching, fingering, lifting, and carrying.



Medium Work: Exerting up to 50 pounds of force occasionally, up to 20 pounds frequently, and up to 10 pounds constantly.
