Job Description - Administrative Director

Description
The UCLA Clinical and Translational Science Institute Community Engagement & Research Program (CERP) is seeking to hire an experienced Administrative Director. The Administrative Director will manage the day-to-day administrative components under the direction of the CERP Co-Directors, Program Director, and Leadership Team.

In this role, you will manage the day-to-day activities of the Center and ensure the program meets timelines and deliverables by facilitating fiscal, administrative, and research support for the funded projects within the Program. This will include building the infrastructure necessary to initiate and facilitate the Center’s projects and cores and community-academic partnerships including reporting, administration of pilot projects awards, assuring appropriate IRB approvals, financial administration, website, and mailing lists. You will collaborate with community-based organizations, community health centers, public health departments, investigators, and community coalitions. You will also consult with and develop training programs for community stakeholders to review pilot project applications and community catalyst awards, and facilitate fiscal, administrative, and research support for the funded projects. The Administrative Director will be responsible for tracking all Center activities and creating reports for PIs, NIH, and facilitating financial reporting.

Target annual rate: $67,400-$133,400
Qualifications
Required:

At least 5 years of experience in public or community health research and at least 3 years' experience supervising and managing a comparable department or team.

Expertise in the English language to compose progress reports to the funding agencies, correspondence to various people (including agencies, potential applicants, interests parties); and editing ability to review these reports, correspondences, and articles/chapters submitted for publication.

Expertise in knowledge of requirements and procedures involved in grant proposal, abstract, and journal article submission to different journals, private organizations, and governmental agencies.

High proficiency in financial management, accounting, and bookkeeping principles to accept primary responsibility for managing grants, to direct expenditures, produce quarterly financial reports, and to provide budget projections to the principal investigator.

High proficiency with University accounting and record-keeping systems to process multiple accounting transactions including: award transmittals; payroll (academic and staff); consultant agreements; subcontracts, honoraria; personal services contract agreements; and general accounting (travel, expense transfers, purchase orders, supplies, check requests, blankets, etc.).

Interpersonal skills to interact effectively and diplomatically with faculty members from a variety of departments at UCLA, and researchers and staff at external organizations.

Exceptional ability to work independently; make decisions; hire and supervise staff; conduct performance evaluations; counsel staff to resolve employee relations.

Expertise with: word processing and desktop publishing programs; graphics programs; spreadsheet programs; database management programs; statistical packages.

Exceptional skills in problem-solving to include gathering and analyzing information to determine the best solutions to problems.

Expertise in the IRB, including preparation and submission of applications. Must be fluent in current policies relating to human subjects in research.

Familiarity with the organization of multi-center research studies.

Preferred:

Masters, Ph.D., ScD in Public Health or another related field.
