Job Description - Administrative Liaison for Spiritual Life

Description

We are seeking a highly motivated individual for the Administrative Liaison for Spiritual Life position. This position plays a vital role in support of the Spiritual Life Department (SLD) by managing administrative tasks, coordinating schedules, organizing events, and ensuring clear communication within the department and with external stakeholders. This position is key to maintaining the operation of departmental activities and contributing to the overall spiritual life of the school community.

The Administrative Liaison for Spiritual Life position serves as the primary coordinator for student outreach and service opportunities through the ENGAGE program, overseeing initiatives locally, nationally, and internationally. The ideal candidate is organized, detail-oriented, and passionate about ministry and service. The Administrative Liaison for Spiritual Life enthusiastically supports Valley Christian’s Statement of Faith and Mission Statements.

Role and Responsibilities: 

Spiritual Life

  • Manage communications, scheduling and travel for the SLD, ensuring organization and preparedness
  • Prepare reports, presentations and maintain accurate filing systems (electronic & paper)
  • Coordinate and support key events such as Senior Kick-Off, Night of Worship and Senior Trip
  • Assist with project management by tracking deadlines, deliverables and event logistics 
  • Provide excellent customer service to internal and external stakeholders including staff members, parents, students, local churches and chapel speakers
  • Support budgeting and financial operations, including invoice processing and expense tracking for Spiritual Life accounts

ENGAGE

  • Oversee daily ENGAGE operations, including coordination with volunteers, chaperones, and external partnerships.
  • Collaborate with SLD on trip selection, leadership appointments, and strategic direction, including expansion to new locations.
  • Develop and maintain chaperone training materials, provide leadership training, and coordinate Q3 AAH student-chaperone meetings.
  • Manage logistics for all ENGAGE trips (EUS, EGL, EAZ), including travel coordination and partnerships with local churches.
  • Administer and train users on ServiceReef; maintain and update the ENGAGE Handbook.
  • Lead all financial processes for ENGAGE, including budgeting, fundraising ($850K+ raised in 2024–2025), and financial oversight.
  • Direct marketing, communications, and promotional efforts, including website updates and informational wall displays in coordination with Marcom.

Requirements

Qualifications and Skills:

  • Must have a personal relationship with Jesus Christ that is a consistent testimony among others
  • Agree to uphold Valley Christian’s Mission & Beliefs which can be found at http://valleychristianaz.org/about/philosophy/
  • Faithfully attend and financially support a local church whose beliefs are in agreement with our school’s Mission & Beliefs.
  • Must have and maintain a valid level one IVP fingerprint card
  • Must have and maintain a valid Arizona driver's license
  • Must have excellent interpersonal and customer service skills
  • Ability to communicate effectively both written and verbally
  • Must be proficient with Microsoft Office Suite or related software 
  • Ability to multi-task with organization
  • Must have strong leadership and team-building abilities
  • Ability to manage multiple priorities and deadlines with a customer-service mindset
  • Demonstrated financial acumen and comfort with budgeting and basic reporting

Education and Experience:

  • High School diploma, GED, or equivalent required
  • Minimum of 1-3 years of experience in administrative or office support role

Physical Requirements:

  • Use a computer (visual and keyboarding) for long periods of time
  • Able to remain in a stationary position (sitting or standing) 50% of the time 
  • Occasionally lift up to 25 pounds 
  • At times requires stooping, bending, turning, pushing, pulling, reaching, and climbing stairs (2-story) 
  • Use of hands, fingers, and arms to reach, grip, and maneuver objects
  • Must be able to respond quickly to sounds (fire/security alarms)
  • Work in a noisy and crowded school environment 
  • Able to work a flexible schedule including weekends and evenings when needed
  • Frequent walking throughout the campus
  • Must be able to travel in state and between campuses, to vendors, and related events
