Position:  Administrative Maintenance Planner Assistant
Shift: 1st Shift (8 hours)
Compensation: $20-$25

Position Overview:

The Administrative Maintenance / Planner Assistant supports the maintenance department by coordinating maintenance schedules, managing documentation, and assisting with parts inventory, work orders, and vendor communications. This role plays a critical part in ensuring the smooth operation of maintenance planning and execution processes. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to collaborate with technicians, supervisors, and external vendors in a fast-paced industrial environment.

  • Organization & Planning: Skilled in prioritizing tasks, managing multiple schedules, and maintaining accurate records.
  • Attention to Detail: Precise in handling documentation, inventory, and compliance records.
  • Communication: Strong written and verbal communication for internal teams and vendor coordination.
  • Technical Aptitude: Comfortable working in maintenance software systems and understanding basic maintenance terminology.
  • Problem-Solving: Ability to anticipate scheduling conflicts and adapt quickly to changing priorities.
  • Team Collaboration: Works effectively with maintenance staff, supervisors, and cross-functional teams.

  

Key Deliverables:

  • Assist in planning, scheduling, and coordinating preventive maintenance and repair activities.
  • Manage and maintain maintenance records, including work orders, equipment logs, and parts usage.
  • Help track and reorder parts and supplies; coordinate with vendors to ensure timely deliveries.
  • Utilize CMMS (Computerized Maintenance Management System) to enter, monitor, and close work orders.
  • Support the Maintenance Planner and Supervisor in developing daily and weekly maintenance plans.
  • Prepare maintenance reports and assist with KPI tracking for reliability and performance metrics.
  • Facilitate communication between maintenance personnel and production/engineering departments.
  • Ensure safety documentation and procedures are up to date and accessible.
  • Assist with managing contractor/vendor access, quotes, and invoices.
  • Help support audits, compliance checks, and maintenance training records.

Requirements

 Required Qualifications:

  • High school diploma or equivalent; an associate's degree or certificate in business administration or a related technical field is preferred.
  • 2+ years of administrative experience, preferably in a manufacturing or maintenance setting.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with CMMS or maintenance scheduling software.
  • Excellent organizational and time management skills.
  • Ability to maintain confidentiality and professionalism in handling sensitive information.

Desired Qualifications:

  • Experience in a maintenance, engineering, or industrial work environment.
  • Familiarity with SAP, MP2, Fiix, or similar CMMS platforms.
  • Understanding of maintenance procedures, terminology, and best practices.
  • Knowledge of procurement processes and inventory systems.

Technology Requirements:

  • Proficient with Microsoft Excel, including basic formulas and spreadsheet management.
  • Ability to learn and use CMMS or ERP systems.
  • Comfortable using email and digital scheduling tools.
  • Familiarity with document management systems (SharePoint, Google Drive, etc.).

Other Requirements:

  • Strong attention to detail with a proactive approach to task completion.
  • Ability to adapt to changing priorities and meet deadlines.
  • Reliable, punctual, and able to work independently and in a team setting.
  • Excellent interpersonal skills and the ability to interact with all levels of staff.

Willingness to support emergency planning or after-hours communications as needed
