Position Summary
This is a hands-on, full-time, in-person position in Folsom, CA, with day-to-day responsibilities that include the coordination of Clandestine Lab Training logistics and Industrial Hygiene administrative assistance. The incumbent will work with the departments to prepare and submit contracts, proposals, and reports, paying close attention to the quality and accuracy of all published or public material developed or used within the departments. The ideal candidate pays close attention to detail, is extremely organized, and is able to multitask in both departments to meet strict deadlines. Essential Duties and Major Responsibilities
- Ensure payment mechanisms (contract or purchase order) are in place before conducting courses
- Ensure NES contract obligations are met for each course conducted
- Ensure required NES instructors and supplies are delivered for each course, including but not limited to the following: Reservations for airfare, hotel, and car rental. Equipment for mock labs, materials for training exercises/practicals – PPE, equipment, various other supplies, and classroom materials – manuals, field guides, etc.
- Responsible for maintaining clan lab training supplies, marketing courses, and searching for RFPs
- Quality control of published materials developed or maintained within the Clan Lab Department
- Provide administrative support to Industrial Hygiene by proofreading documents, tracking deadlines, and searching for RFPs
- Facilitate and maintain client relationships
- Responsible for Clan Lab Department course/customer maintenance in Salesforce
- Serve as primary contact and registrar for Clan Lab Department training classes and provide essential technical support to clients attempting to enroll in classes
- General preparation and administrative support needed to create, print, and package the materials required for various training formats (online, webinar, in-person)
- Assemble, prepare, and maintain all training documentation (e.g., rosters, completion certificates, participant exams, etc.)
- Responsible for job folder processing and creating job number requests
- Maintain Salesforce data for both departments, including adding new courses
- Assist with answering the phones and directing clients to the appropriate person
- Attend conferences for both departments
- Must be able to lift 75 lbs.
Specialized Knowledge, Skills, and Abilities
- Expert communicator, facilitator, and able to connect with clients and business associates
- Demonstrated and above-average writing skills
- Solid understanding of Microsoft Word, PowerPoint, and Excel
- Knowledge of equipment utilized in clandestine labs
- Knowledge of personal protective equipment utilized in clandestine labs and cannabis training
- Knowledge of mock lab scenarios used in clan lab training
- Proficient in designing, creating, and editing PowerPoint presentations
- Use of Microsoft Teams, Webex, or programs needed for hosting webinar-based training
- General knowledge of OSHA regulations
Education- Minimum of a high school diploma or equivalent.
- Preferred a bachelor’s degree or higher in: Business Administration, English, Journalism, or Marketing.
Experience
- 5 years’ experience in
- Microsoft Word, PowerPoint, Excel, and Salesforce or similar CRM platforms.
- Marketing.
- Client Management.
- Utilizing webinar-based training platforms.
- Office management.
- Managing government contracts.
- Preparing journals, articles, or other literature for publication.
Wage: $31.25 to $33.65 per hour
Work Hours: 7:00 AM to 6:00 PM. Hours vary and are dependent on business needs. Generally, Monday through Friday, but days may vary with the workload. Some weekend and after-hours work may be required.
