Administrative Specialist – Raynor of Hawaii
📍 Location: Pearl City, HI
💲 Pay Range: $22–$24 an hour

Raynor of Hawaii is seeking a positive and proactive Administrative Specialist for a rewarding career in the service industry! This position exists to ensure all customers are greeted promptly and helped efficiently—whether on the phone or in person—while removing interruptions from schedulers and managers. You’ll also support all non-management positions in the office during heavy workloads or when team members are absent.


You’ll connect with multiple parts of the business while engaging employees, customers, and vendors. From greeting visitors to managing calls, processing payments, and backing up key scheduling roles, this position is the hub that keeps the office running smoothly. Key Responsibilities


Front Office & Reception




  • Greet and welcome visitors in person.




  • Answer, screen, and forward incoming calls; take and deliver messages promptly.




  • Provide basic and accurate information in-person, via phone, and email.




  • Process credit card payments.




  • Open, sort, and deliver incoming mail; prepare outgoing mail.




  • Receive and distribute packages; process returns as directed.




  • Monitor Google Forms for new leads at least 3x per day.




  • Handle occasional errands such as food pick-ups, gift purchases, or bank deposits.




  • Perform clerical tasks such as filing, photocopying, and transcribing.




Administrative Support & Backups




  • Assist other employees with tasks during high workloads or absences.




  • Residential Service Scheduler backup: Take service calls, provide information, assist with scheduling, ordering, and direct technicians when needed.




  • Commercial Service Scheduler backup: Same as residential, but for commercial service.




  • Administrative Assistant backup:




    • Order and maintain office/kitchen supplies.




    • Keep lunchroom and upper offices clean and organized.




    • Perform light cleaning in upper restroom weekly.




    • Manage A/C condensation, open/close lunchroom daily.




    • Learn invoice processing for management approval.




    • Learn how to process the President’s expense report.






Other Duties




  • Run errands in company vehicle as needed.




  • Maintain a positive, empathetic, and professional attitude toward employees, customers, and vendors.




  • Communicate and coordinate with colleagues as necessary.




  • Identify customer needs, research solutions, and provide alternatives.




  • Follow up on leads and estimates for new and existing customers.




  • Understand our products and services inside and out.




  • Perform other duties as assigned.




Skills & Qualifications




  • 1+ year of previous experience in a customer service or administrative role.




  • Excellent customer service and organizational skills.




  • Strong interpersonal communication skills with active listening.




  • Experience with ServiceTitan a plus.




  • Customer-focused and adaptable to different personality types.




  • Ability to multitask, set priorities, and manage time effectively.




  • High school diploma or equivalent.
