We are seeking an Administrative Specialist 2 - Secondary/Postsecondary Transitions to join our Office of Education, Innovation, and Improvement at the Oregon Department of Education. This is a permanent position represented by the Service Employees International Union (SEIU).    
  

This position follows a hybrid work model. Onsite presence will be  when business or operational needs are best supported in person, such as collaboration, training, or work that requires access to onsite resources. Employees approved to work remotely must have a reliable and secure internet connection and maintain a professional work environment that supports productivity. While working remotely, employees are expected to maintain the same level of performance, responsiveness, communication, and availability as they would in the office. 

 

What you will do!   

This position provides administrative support to the SPST Director and team by assisting in the administration of guidelines, publications, and project/program monitoring in support of the administration of Secondary and Post-Secondary Transitions (SPST) programs and grants. In addition, this position performs administrative research, analysis, and evaluation in support of the SPST team.   
 

Typical duties include: 

  • Providing administrative support to the SPST Director and team. 

  • Monitoring and tracking grant expenditures and deliverables, procurement processes, creating grant and project progress reports, and other program and project related duties. 

  • Researching information and responding to inquiries from other offices within ODE, local education agencies, State agencies, community partners, and state and federal legislator offices, and members of the public.   

  • Establishing and maintaining procedures to coordinate SPST activities and organizing and documenting projects, policies, procedures using various tools (e.g., Microsoft, Smartsheet, Google, etc.)

Minimum Qualifications: ODE reviews resumes to determine whether applicants meet the minimum qualifications for this position. Three years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR  

  

An associate degree in general office occupations and two years of secretarial or administrative support experience that includes coordinating office procedures, preparing narrative and statistical reports, and administrative data collection and analysis; OR  

An equivalent combination of education and experience.

  • High attention to detail and accuracy, particularly in tracking data, documentation, and compliance-related materials for state and federal CTE programs.   

  • Customer-service and relationship-centered approach, working effectively with educators, administrators, and external partners across Oregon.  

  • Technical proficiency and adaptability, including comfort with office systems and application, web technology, shared databases, and learning program-specific tools and reporting processes.  

  • Commitment to equity, confidentiality, and professionalism, supporting inclusive CTE systems and handling sensitive information with discretion.

The Secondary Post-Secondary Transitions team reports to the Assistant Superintendent for Education Innovation and Improvement. The work of EII impacts local school districts, education service districts, professional associations, and other agencies involved in education and workforce development programs in kindergarten through post-secondary. Staff members will work with a variety of state agencies and individuals on educational program planning, curriculum development, professional development for teachers and administrators and implementation of federal and state laws while supporting compliance with regulations.

  • The salary listed is the non-PERS qualifying salary range. If the successful candidate is PERS qualifying, the salary range will reflect an additional 6.95%.
