This is an anticipated vacancy.

This posting is for an Administrative Specialist II position in the Division 9 Project Development unit. The primary purpose of this position is to provide administrative and technical assistance to the Division Project Development unit. This position supports the unit by gathering, analyzing, editing, and reporting information for the various functions and responsibilities assigned to the unit. The position provides support in the preparation of contract documents, bidding/award process, purchase order creation, and contract execution. The position collects and edits confidential reports, proposals, and consultant submittals and is responsible for the payment and tracking of all invoices in coordination with Project Managers. The position will also monitor funding, contract, and purchase order balances to prevent overdrafts. The position will receive inquiries from citizens and other external customers and coordinate with Project Development staff to provide timely responses. The position will assist with all the unit personnel tasks including but not limited to attending HR trainings, onboarding, and SAP role requests. This position requires strong computer literacy and the ability to learn new systems quickly.

Knowledge Skills and Abilities/Management Preferences

Salary Grade and Salary Range: NC09 / $41,206 – $72,113

Management prefers applicants with the following:

  • Experience reviewing detailed documents and records for accuracy and completeness.
  • Experience with Microsoft Office using programs such as Access, Word, and Excel.
  • Experience completing and/or maintaining records and reports.
  • Experience interpreting and/or explaining policies, procedures, and laws.
  • Data entry experience entering and extracting information from a mainframe database or web based.

Minimum Education and Experience

High school diploma or General Educational Development (GED) diploma and four years of related administrative experience; or equivalent combination of education and experience.
