Description

Job Title:   Administrative Specialist

Job Status:   Substantially Full-Time, 11 Months

Exempt Status: Exempt 

Department:   Spiritual Life

Reports to:    Spiritual Life Director

Job Summary 

TKA is a Christ-centered school grounded in a Biblical worldview, and we are looking for an Administrative Specialist who is a follower of Jesus Christ and is dedicated to the school’s Christ-centered mission. The primary responsibility of this position is to oversee the details of the TKA service trips and to provide administrative support the Spiritual Life team.

Requirements

Essential Job Functions

Service Outreach

  • Research, identify, and maintain strong relationships with all service/ministry partners
  • Oversee student and staff placement process in collaboration with HR and SL Director
  • Plan and oversee trip leader meetings
  • Collaborate with trip leaders on logistical details, from planning through execution
  • Oversee all service trip budgets, ensuring all trip payments are made in a timely fashion
  • Organize all service trip meetings for parents, students, and staff
  • Manage and meet regularly with the Tecate Oversight Team, maintaining agendas and minutes
  • Coordinate and participate in all Tecate student and parent meetings
  • Create and administer service trip student surveys
  • Manage alternative service process in collaboration with the High School Principal
  • Meet with and motivate students who lack the required hours to complete them promptly
  • Manage the database MobileServe to track make-up student service hours 
  • Manage student volunteer hours in SIS and collaborate with the Registrar
  • Partner with the school administration on legal, medical, and safety decisions 

Administrative Tasks

  • Mentor a group of students by meeting daily as part of the school’s home group program
  • Meet regularly with and serve as a member of the Spiritual Life staff
  • Attend chapels, Spiritual Life events, retreats, and a service trip
  • Assist the Spiritual Life Director in the handling of administrative duties
  • Provide logistical and administrative support to the Spiritual Life team

Qualifications

Education and Experience

  • High school diploma or equivalent required 
  • Some college coursework preferred
  • 5+ years of administrative experience
  • Mission/service experience a plus but not required

Skills and Abilities 

  • Highly detail-oriented
  • Strong problem-solving skills
  • Strong leadership qualities and mentoring skills
  • Excellent skills in communicating both orally and in written form 
  • Able to work both independently and in a team setting
  • Demonstrated ability to lead by example  
  • Proficient with Microsoft Office and Google Suite
  • Ability to learn new computer software systems

Working Conditions & Physical Requirements

  • Required to use the computer throughout the day
  • Work will be performed from the campus and will move throughout the campus during the day
  • Frequently communicates with students and must be able to accurately answer questions related to the Bible, Spiritual Gifts, the Christian Life, etc.
  • May occasionally have to lift up to 20 pounds
  • Work is generally performed throughout the year with hours typically 7:30 am-4:00 pm
  • This position will occasionally require you to work nights, weekends, and overnights (for trips/events). As much advance notice as possible will be provided
  • You will receive 22 days off during the summer

Salary & Benefits

  • TKA offers a comprehensive benefits package that includes medical, dental, and vision insurance. Additionally, TKA  has an HSA and FSA plan, Employee Assistance Program, 403(B) base with matching contributions, basic life insurance, paid time off, and paid professional development.
  • Pay Grid:  Specialist III
  • Pay Grid Range: $70,722-$84,520
    • This position is paid based on a preset salary grid, and the actual salary will be determined by applicable education and experience as determined by the Human Resources department.
