Job Description:
The Nebraska Department of Transportation's Materials & Research Division is seeking a detail-oriented and highly organized Administrative Technician to support our engineering, testing, and research operations. In this role, you'll provide essential administrative coordination that keeps our division running smoothly, from managing documentation and data entry to assisting with project tracking, procurement, and communication across teams.

JOB DUTIES
Under general supervision, this position may provide varied advanced technical/administrative support for a mid-level to high-level manager or unit in the processing, coordinating, tracking, and monitoring of program-administrative functions or perform technical processing activities in specialized department functions. Work products or services affect the accuracy, reliability, and efficiency of the unit or agency program/administrative operations of the employing agency.
- Answer and direct phone calls to the appropriate Division member.
- Manage emails and schedule for the Division Head.
- Create/edit Division correspondence.
- Supervise Office Specialist.
- Manage building security: Admit visitors through secure doors, issue and track visitor badges, and direct guests to the appropriate location.
- Manage purchasing program for Division, P-Cards, and reconciling.
- Assistant Division Head with preparation & monitoring of budget; recommend appropriate coding for equipment, supplies, etc.
- Manage annual fixed asset inventory; account for 300+ pieces of lab/field equipment on an annual basis.
- Manage annual vehicle inventory; compile mileage, condition, age, etc. to determine replacement needs, and report to Operations.
- Manage new hire and temporary worker hiring and onboarding.
- Manage Division Phone and Cell Phone Directory.
- Assist Division and Section Heads with Conference registrations and motel reservations.
- Make arrangements for retirement events.
- Provide Kronos (timecard) support to 85+ Division members.
- Assist Section Head w/Annuaf Qualified Consultant and Contractor. Accreditation: produce fetters and certificates, update inventory.
- Process expense reimbursements and motel bills for payment.
- Order office supplies.
- Perform other duties as assigned.
Requirements/ Qualifications
Minimum Qualifications: Coursework/training or experience related to research, presentation, or publication in an area related to the programs or functions of the employing agency; business administration; accounting; customer service; and/ or technical support work, including the use of computer software such as word processing, spreadsheets, and database management.
KNOWLEDGE / SKILLS / ABILITIES
- Knowledge of Microsoft Excel.
- Knowledge of Adobe Professional.
- Knowledge of file management (On Base or other).
