Administrative / Virtual Assistant (Remote)

Job Summary

Orgenesis Inc. is seeking a detail-oriented and highly organized Administrative / Virtual Assistant to provide administrative support to management and various departments. The ideal candidate is a proactive professional with excellent communication skills, strong organizational abilities, and the capacity to manage multiple tasks while maintaining confidentiality.

Key Responsibilities

Provide daily administrative support to executives and team members.
Manage calendars, schedule meetings, appointments, and conference calls.
Coordinate travel arrangements and prepare travel itineraries when required.
Draft, edit, and proofread emails, reports, presentations, and business correspondence.
Answer and respond to emails, phone calls, and other inquiries professionally.
Maintain electronic filing systems and organize company documents.
Prepare meeting agendas, take meeting minutes, and distribute follow-up notes.
Assist with data entry, record keeping, and database management.
Coordinate internal communications between departments.
Track office supplies and assist with vendor communications when necessary.
Handle confidential information with discretion and professionalism.
Assist with special projects and perform other administrative duties as assigned.

Qualifications

High school diploma or equivalent required; Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
Previous experience as an Administrative Assistant, Executive Assistant, Virtual Assistant, or similar administrative role.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Ability to prioritize tasks and meet deadlines.
High level of attention to detail and accuracy.
Professional demeanor and excellent customer service skills.
Ability to work independently in a remote environment.

Required Skills

Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
Experience with Google Workspace (Docs, Sheets, Drive, Calendar).
Familiarity with Zoom, Microsoft Teams, and other virtual meeting platforms.
Strong typing and data entry skills.
Ability to maintain confidentiality of sensitive information.
Excellent problem-solving and multitasking skills.
Reliable high-speed internet connection and a dedicated home workspace.

Preferred Qualifications

Experience supporting healthcare, biotechnology, or life sciences organizations.
Experience using CRM or project management software.
Knowledge of office administration procedures and best practices.

Schedule

Monday–Friday
8-hour shift
Full-time
Occasional overtime may be required based on business needs.
