Job Description - Admission Application Coordinator

WHITMAN COLLEGE

POSITION PURPOSE


The Admission Application Coordinator plays a critical role in managing and processing all aspects of admission applications from submission through release of admission decisions. This position assists prospective students navigate the application process to ensure timely and accurate submission of required documents and provide guidance throughout the application process. The Coordinator reports to the Director of Admission Operations and works closely with system managers to ensure data integrity, as well as Admission Officers.    



PRINCIPAL ACCOUNTABILITIES


Application Management & Decision Release (50%)



  • Oversee the receipt and tracking of admission applications and supplemental materials.

  • Coordinate application verifications, including grade point average calculations.

  • Manage the technical components for the admission decision release process via the CRM (Slate by Technolutions) including decision statuses, email communications, financial aid brochures and reconciliation of records.


Data Integrity & Reporting (30%)



  • Run imports from databases for enrolling students, including data on applications, institutions, test scores and parent information during the application and decision periods.

  • Maintain applicant records in the College’s CRM and student information database.

  • Partner with system managers to troubleshoot technical issues with applications or portals.

  • Provide applicant and enrolled student data to the appropriate offices on campus.

  • Work with Admission Associate Director of Enrollment Systems to determine and administer best practices within various information databases for processing of applications.

  • Consolidate records and handle duplicate merging processes within databases.


Communication & Customer Service (20%)



  • Serve as the first point of contact for application related questions from students, families and school counselors.

  • Provide timely responses and clear instructions to support applicants through the process.

  • Provide backup support for all other clerical staff, including entering prospect information, answering incoming calls, providing back-up during travel season and assisting with database inbox during application season.

  • Provide clerical support to Directors and Admission Officers.



REQUIRED KNOWLEDGE, SKILLS & ABILITIES


Must be able to explain and/or demonstrate possession of the knowledge, skills, and abilities to safely perform the essential functions of the job, with or without reasonable accommodation. Specifically,



  • Demonstrate general office skills including spelling, proofreading, composition of emails, and the ability to use general office equipment including computers and copy machines.

  • Strong oral and written communication skills.

  • Ability to work well with all College constituencies.

  • Strong team orientation.

  • Ability to work under pressure and to meet deadlines.

  • Strong problem-solving ability.

  • Ability to work quickly and carefully, paying close attention to details.

MINIMUM QUALIFICATIONS



  • Associate Degree.

  • OR a combination of relevant education, training, and experience.

PREFERRED QUALIFICATIONS



  • Previous experience working in an administrative office in the field of education.

  • Experience working in higher education databases, including Slate and Colleague.
